Position Summary
We are seeking a highly organized, detail-oriented, and professional Executive Assistant to provide exceptional administrative support to our Chief Executive Officer (CEO) and Chief Operating Officer (COO). This position plays a critical role in ensuring the efficiency of executive operations while serving as a trusted liaison between executive leadership, the Board of Directors, public officials, staff, and community partners. The ideal candidate is proactive, resourceful, adaptable, and exercises the highest level of professionalism, confidentiality, and discretion.
They are an excellent communicator who thrives in a fast-paced environment and can effectively manage multiple priorities while representing the organization with confidence.
Key Responsibilities
- Manage and maintain the CEO's complex calendar, ensuring efficient scheduling and thoughtful prioritization of executive time.
- Coordinate and schedule all Board of Directors meetings, committee meetings, and related executive meetings.
- Prepare meeting materials, agendas, presentations, and supporting documents for board meetings and executive meetings.
- Provide day-of meeting support for Board meetings, including room preparation, materials distribution, attendance coordination, and meeting logistics.
- Maintain accurate board records and work collaboratively with city and county officials to monitor and ensure compliance with applicable board member records and meeting requirements.
- Support both the CEO and COO with administrative, organizational, and project management tasks.
- Prepare professional correspondence, reports, presentations, charts, and simple graphics.
- Assist with creating surveys, forms, and data collection tools using Google Forms.
- Serve as a professional point of contact for Board members, elected officials, community leaders, hospitality partners, and other stakeholders.
- Maintain strict confidentiality regarding personnel matters, executive discussions, and sensitive organizational information.
- Provide administrative assistance to the Sales and Marketing team as needed, demonstrating flexibility in daily priorities.
- Assist with special projects and other administrative duties as assigned.
Qualifications
Required -
- Exceptional organizational and time management skills with outstanding attention to detail.
- Proven experience supporting senior executives or executive leadership.
- Advanced proficiency with Google Workspace, including Gmail, Calendar, Docs, Sheets, Slides, Drive, and Google Forms.
- Working knowledge of Adobe Creative Suite for creating simple graphics, charts, presentations, and marketing support materials.
- Experience using Canva to create polished visual communications.
- Demonstrated ability to manage complex calendars efficiently while respecting executive priorities and maximizing productive use of time.
- Excellent written and verbal communication skills.
- Strong interpersonal skills with the confidence and professionalism to communicate effectively with executives, Board members, government officials, community partners, and staff.
- Ability to prioritize multiple projects and adapt quickly to changing schedules and organizational needs.
- High degree of discretion, integrity, and professionalism when handling confidential information.
- Self-motivated with the ability to work independently while collaborating effectively across departments.
Preferred -
- Experience supporting executive leadership and Boards of Directors.
- Experience coordinating board governance, meeting documentation, or public board records.
- Familiarity with working alongside municipal, county, or governmental officials.
