The Fire Department Programs Technician provides administrative and logistical support for the Fire Department Training Division and serves as a primary point of contact for the Training Center. This position requires someone who can manage competing priorities, protect confidential information, communicate effectively, and provide dependable service in a busy environment. This job is Non-Exempt and is subject to the overtime provisions of the Fair Labor Standards Act (FLSA).
Key responsibilities include:- Serving as a primary administrative contact for employees, recruits, applicants, instructors, visitors, and callers.
- Maintaining accurate training records, attendance, and training information in departmental systems.
- Supporting firefighter recruitment by monitoring applicant activity and preparing communications through the City s Applicant Tracking System (ATS).
- Coordinating logistics and communications for Firefighter Ability Tests (FFATs), interviews, background appointments, and other recruitment activities.
- Preparing reports, correspondence, agendas, forms, meeting materials, and other departmental documents.
- Coordinating classroom schedules, room setup, meeting coordination, and other training events.
- Coordinating departmental travel requests and reimbursements, ensuring timely and accurate processing within City policies and approved budgets.
- Maintaining confidential personnel, applicant, and training information with accuracy and discretion.
- Responding to inquiries and providing professional customer service to internal and external customers.
- Commitment to accuracy and attention to detail; advanced written and verbal communication, organizational, and interpersonal skills.
