Position Responsibilities

The Business Office Manager will oversee the daily operations of the business office while ensuring accurate, timely, and compliant financial and administrative processes.

Key responsibilities include:

  • Oversee and coordinate the day-to-day functions and activities of the Business Office

  • Maximize cash flow through effective billing, collections, and accounts receivable management

  • Prepare and submit claims for all payer types accurately and timely in accordance with facility policies and procedures and applicable state and federal regulations

  • Monitor accounts receivable and follow up on outstanding or delinquent accounts

  • Report delinquent accounts and collection concerns to the Nursing Home Administrator

  • Manage accounts payable, accounts receivable, cash receipts, petty cash, and resident funds

  • Maintain accurate Human Resources, payroll, and accounting records and systems

  • Provide administrative and office support to the Executive Director and facility leadership

  • Assist with resident admissions, move-ins, tours, and related administrative processes

  • Maintain confidentiality and ensure sensitive resident and employee information is handled appropriately

  • Collaborate with facility leadership and department heads to support efficient facility operations

  • Ensure business office practices remain organized, accurate, and compliant

Qualifications
  • Bachelor’s degree in Business Administration, Accounting, Healthcare Administration, or a related field preferred; equivalent relevant experience in long-term care may be considered

  • Minimum of 3 years of related experience

  • 1–2 years of management or supervisory experience required; business office management experience preferred

  • Experience in a skilled nursing or long-term care environment strongly preferred

  • Strong working knowledge of Microsoft Word, Excel, PowerPoint, Outlook, and internet/intranet systems

  • Excellent verbal and written communication skills

  • High level of professionalism, integrity, and discretion

  • Strong organizational skills and exceptional attention to detail

  • Ability to prioritize multiple responsibilities and meet deadlines in a fast-paced environment

  • Strong problem-solving and analytical skills

  • Ability to work effectively with residents, families, employees, leadership, and outside partners

  • Customer-service focused with the ability to remain professional and composed under pressure

  • Commitment to accuracy, confidentiality, and compliance
