We are currently seeking a full-time
Client Services & Office Coordinator
to join our Greensboro,
NC office. You will assist in handling front desk duties, welcoming clients to our office, and answering phones. The ideal candidate will have 1-2 years of prior customer service experience, be committed to providing excellent client experience, possess strong interpersonal skills and be able to switch quickly between multiple tasks.
Reception & Client Service
- Maintain a clean, welcoming lobby area, including keeping the coffee bar and refrigerator organized and fully stocked.
- Ensure closing rooms remain clean, organized, and ready for use.
- Greet, check in, and assist all clients and visitors upon arrival.
- Collect, log, deposit, and schedule Earnest Money Deposits (EMD) dropped off at the office.
- Answer incoming calls on the Satellite Office
line, as well as rollover calls from the Charlotte office. - Monitor and assign emails and voicemails in Front; respond when appropriate.
- Print and prepare loan packages for attorneys.
- Scan and prepare completed loan packages for submission to lenders.
- Track and update calendars, monitor loan package needs, confirm funding approvals, and maintain related status updates.
- Deposit and record any EMD or Clear-to-Close (CTC) documents received at closing.
- Maintain inventory of office, kitchen, and conference room supplies; restock as needed.
- Process incoming mail and distribute as necessary.
- Review returned checks, determine cause, and notify the Closer and Escrow Accounting with details.
- Coordinate with Accounting to print and mail Satellite Office
checks. - Review recorded Deeds to ensure proper completion and confirmation.
- Assist with management and administrative projects as assigned.
- Coordinate with Building Management and Security regarding property issues, including suite repairs, temperature control, access cards, fitness room access, and conference center reservations.
- Serve as liaison for office vendors, such as the copier service company.
- Previous experience as receptionist is preferred but not required
- Knowledge of the real estate industry is helpful
