The Executive Administrative Assistant atDaly Seven provides high-level, proactive administrative and operational support to the CEO, serving as a key liaison across the enterprise and ensuring executive initiatives are executed efficiently. This role requires an energetic, detail-oriented professional who excels in a fast-paced environment and can independently prioritize dynamic workloads. The ideal candidate brings strong written communication skills, basic financial acumen, and the utmost discretion to manage sensitive corporate, financial, and personnel matters with absolute confidentiality.
Reports To:
Chief Executive Officer (CEO)
- The Executive Assistant will keep the CEO’s reports and priorities organized so they can easily access the most important information without having to sort through low-priority items.
- Provide administrative assistance, such as writing and editing emails to include gratitude emails, drafting memos, speeches, and preparing communications on the CEO’s behalf for review.
- Prepare and draft quarterly Message from the CEO to be published.
- Prepare and draft annual evaluations including performance discussions for the CEO’s direct reports.
- Compiles list of discussion items for 1:1 meetings.
- Track priorities, plans, and documents and proactively follow-up.
- Track action items for the CEO.
- Anticipate needs and solve complex admin and operational issues before they even arise.
- Organize and prepare for meetings, including gathering documents and attending to logistics of meetings.
- Answer and respond to phone calls, communicate messages and information to the CEO.
- Coordinate travel arrangements with a high level of detail and follow through.
- Manage the CEO’s calendar, including making appointments and prioritizing the most sensitive matters.
- Maintain comprehensive and accurate records to include confidential records.
- Willingness to build and nurture relationships across the enterprise.
- Perform minor accounting duties.
- Take meeting minutes for meetings as needed.
- Perform audit on D7 payroll prior to the CEO’s review and approval.
- Review and organize weekly invoices from M3 Intelligent Imaging for the CEO to review and approve. Send follow up questions and items to leaders regarding invoices.
- Review and prepare monthly summary reports such as;
Guest Supply, Fist Citizens Visa credit card purchases, Billouts, New Construction budget snapshot, Insurance Billbacks, etc. - Compile and review quarterly Board Reports for accuracy for CEO review and approval.
- Strong written and oral communications skills and the ability to communicate effectively with senior managers, company leaders and employees.
- Ability to maintain balance among multiple priorities; thrives on solving problems in a dynamic environment; must enjoy multitasking, shift priorities, and can think and react quickly.
- Demonstrates ability to take initiative, anticipate needs and exercise independent/sound judgment.
