Testing Accommodations Proctor Graduate Assistant -

The term Graduate Assistant is the umbrella term that encompasses all types of GA appointments. Graduate Assistants are employed by the University to teach, conduct research, or assist with administrative duties in departments and non-academic units. Every attempt is made to assign Graduate Assistants to positions that are directly related to the student's field of study or that provide the opportunity to develop transferable, professional skills.

Graduate Assistantships are assigned in the department or unit and confirmed by the Graduate School.

Position Summary

The Testing Accommodations Proctor Graduate Assistant (GA) supports equitable access to assessments by coordinating and proctoring accommodated examinations. This role helps ensure timely scheduling, secure handling of exam materials, consistent proctoring practices, accurate recordkeeping in Trac Cloud, and strong communication with students, faculty, and campus partners. The GA works within established accessibility and testing policies to promote academic integrity and an accessible testing experience.

The Office of Accessibility Resources and Services (OARS) collaborates with the UNCG community to ensure campus life is accessible, removing barriers and implementing reasonable accommodations for students with disabilities. The Academic Achievement Center (AAC) - including professional staff, graduate assistants, and undergraduate students - works collaboratively toward this goal.

Position Reporting Structure

The AAC includes professional staff, graduate assistants, and undergraduate students who work collaboratively to accomplish division and office goals. This position will be supervised by the Coordinator for the UPL and will work primarily in the University Proctoring Lab (UPL).

Graduate Assistant Responsibilities:
Scheduling & Records
  • Develop understanding of, and competency in, UPL, OARS, and Trac Cloud policies and procedures for accommodated testing.
  • Enter and regularly update student appointments and course lists on Trac Cloud.
  • Manage "accommodated only" testing requests from end-to-end.
  • Prepare daily accommodated test rosters and reconcile completed exams, attendance, and exceptions in Trac Cloud.
  • Maintain organized digital and/or physical testing files in accordance with retention and confidentiality standards.
Communication & Coordination
  • Communicate professionally with faculty/instructors to request exam materials and clarify permitted resources (notes, calculator, formula sheet, etc.).
  • Send and track testing confirmations and reminders to students, including start time, arrival expectations, and required identification.
  • Provide clear, consistent explanations of accommodated testing procedures to students, including rules on breaks, materials, and time limits.
  • Consult with OARS and UPL personnel as needed to clarify testing concerns.
  • Escalate complex or sensitive concerns (e.g., accommodation disputes, academic integrity incidents, access barriers) to the supervisor promptly.
Test Proctoring
  • Verify student identity and manage check-in procedures.
  • Distribute, collect, and process examination materials.
  • Enforce time limits and compliance with other examination procedures.
  • Monitor testing in-person and/or via monitors.
  • Report testing anomalies using a standardized reporting process.
  • Notify appropriate personnel when test equipment malfunctions occur.
Supervision
  • Meet bi-weekly with the Coordinator for the UPL and/or Assistant Director for Tutoring and Testing Services for testing management.
  • Attend weekly staff meetings.
  • Other duties as assigned.

Time Commitment: 20 hours/week; start and end dates as set by the Graduate School (typically August through early December, January through early May). Specific work hours will be determined by the Assistant Director overseeing the UPL, based on the office needs. Some evening and weekend work may be required.

Compensation: Students are compensated $15,000 ($7,500 per semester) for the academic year; the AAC does not provide tuition waivers. Stipend portioned out monthly.

Qualifications:

Knowledge of:
  • Basic features of computer equipment and applications
  • Customer service techniques for in-person engagement, email, and phone
  • Basic recordkeeping procedures
  • ADA and other accessibility-related laws and best practices (training provided)
Ability to:
  • Exercise judgment and discretion to maintain academic integrity
  • Follow written and oral instructions carefully
  • Give clear and concise instructions
  • Interact with others courteously while enforcing rules and procedures
  • Communicate effectively, orally and in writing
  • Keep information confidential
  • Maintain accurate records

Training and support will be provided for specific job-related tasks and behaviors.

Minimum Qualifications
  • Maintain academic good standing at all times (3.0).
  • Be enrolled full-time, which is generally a minimum of 9 credits.
