Administrative Assistant

Provides general office support with a variety of clerical activities and related tasks. The Administrative Assistant will be responsible for arranging meetings and events, greeting customers, answering incoming calls, directing calls to appropriate associates, mail distribution, flow of correspondence, requisition of supplies as well as additional clerical duties.

Essential Duties and Responsibilities

  • Answers telephones and directs calls.
  • Greets and directs visitors.
  • Provides callers with information such as company address, directions to the company location, company fax numbers, company website and other related information.
  • Utilizes HRIS systems to maintain employee records and monitor attendance tracking.
  • Receives, sorts and forwards incoming mail. Maintains and routes publications.
  • Coordinates the pick-up and delivery of express mail services (Fed Ex, UPS, etc.)
  • Monitors, distributes, and maintains accurate records of live check disbursements.
  • Assists with developing and maintaining employee communication, newsletters, and social media accounts.
  • Assists in the ordering, receiving, stocking and distribution of office supplies.
  • Assists with other related clerical duties such as photocopying, faxing, filing and collating.
  • Develops and maintains community outreach and sponsorship management.
  • Provides support to HR team on an as-needed basis applicable to the planning, scheduling, company events, and company awards.
  • Coordinates and maintains records for housing, vehicle, and maintenance operations.
  • Assists with invoice processing and tracking to ensure accurate recordkeeping.
  • Manages company uniform inventory, including ordering, tracking, and cancellations.
  • Maintains and oversees vending and market operations.
  • Coordinates lunch orders and catering arrangements for client and vendor meetings.

Skills and Experience

  • High School Diploma required
  • Knowledge of computers specifically, experience in Microsoft Office software.
  • Some college preferred
  • 2-4 years administrative experience
  • Proficient computer skills
  • Flexible, collaborative, and customer focused

Physical Work Conditions

  • Must be able to work in a hot environment
