The Assistant Director for Conference and Event Planning will be one of the front‑line customer service positions for all reservations in Main Campus Student Center, Wright Auditorium, and other University facilities where conferences and events are scheduled through the Central Reservations Office. This position works with various constituents on campus to secure and locate meeting facilities for users, including students, and may also collaborate with the local community on events that occur on campus.
- Provide campus‑wide reservations for campus departments, faculty, and staff, including initial consultation meetings, scheduling in the reservation system, coordinating additional services (e.g., security, catering, permits), creating diagrams with event planning software, attending scheduled events, and following up with clients and providers post‑event.
- Schedule meetings with event organizers at least two weeks prior to event dates to address agendas and resource coverage.
- Deliver end‑to‑end reservation support in adherence to university policies, procedures, and standards of operation.
- Communicate effectively and efficiently with CRO professional staff and students to ensure quality customer service for all events.
- Create positive relationships with campus resource partners (Police, Parking, Grounds, EH&S, etc.) to ensure appropriate resources are available and sufficient for events.
- Resolve any problems that may arise so all groups can have a successful event.
- Support the Director in the execution of the department’s goals and objectives.
- Design and instruct event planning seminars for students, faculty, and staff on ECU’s campus.
- Represent the Central Reservations Office on planning teams for campus events such as Family Weekend, Orientation, and ad hoc committees.
- Manage the daily operations of the Central Reservations Office at the discretion of leadership.
- Perform other duties as assigned, including representing the department and/or university at professional conferences and workshops and serving on division or campus committees.
Bachelor’s degree and one year of experience related to the area of assignment; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.
