Position Summary
The Account Specialist reports to the Chief Financial Officer (CFO) provides high level administrative internal controls, while coordinating and administering employee benefits for the organization. This position assists with financial office operations, maintains confidential records, supports payroll and benefits functions, and serves as a liaison between employees, insurance providers, and third-party administrators.
Duties and Responsibilities
Prepare correspondence, reports, presentation, spreadsheets, and other financial or administrative documents
Maintain calendars, schedule meetings and coordinate department activities
Assist with budget preparation, financial reporting, audits, and data collection
Maintain and organize confidential financial and personnel records in accordance with district policies and state regulations
Prepare materials for Board of Education meetings, finance department meetings, and administrative presentations as assigned
Respond to inquiries from staff, vendors, and the public regarding finance and business office operations
Assist with purchasing, accounts payable, payroll support, and other business office functions as assigned
Support special projects and audits as needed
Employee Payroll/Benefits Administration for NERSBA
Maintain current knowledge of employee insurance plans, coverage options, and administrative procedures
Process payroll benefit deductions, enrollment change, and discrepancy corrections accurately and timely
Coordinate and maintain Affordable Care Act (ACA) compliance reporting requirements
Administer employee payroll/benefits programs for NERSBA, including enrollment and eligibility management
Collaborate with district departments regarding employee benefits
Process monthly insurance payroll uploads and reconcile benefit payment records
Coordinate COBRA eligibility, required documentation, notifications, and payment tracking
Prepare and distribute employee exit benefits documentation for departing PCS employees
Administrative Assistant Functions-General Duties
Maintain effective communication and positive working relationships with all departments
Perform additional duties and responsibilities as assigned by the Chief Financial Officer
Knowledge, Skills, and Abilities
Knowledge of general office management and administrative procedures
Knowledge of employee benefits administration and payroll processes
Knowledge of school district finance operations preferred
Ability to maintain confidentiality of sensitive financial and personnel information
Ability to interpret policies, procedures, and benefit guidelines
Strong organizational, interpersonal, and customer service skills
Ability to communicate effectively both orally and in writing
Proficiency in Microsoft Office applications, especially Excel and Word
Ability to establish and maintain effective working relationships with district staff, vendors, and the public
Minimum Training and Experience
Associate degree in business administration, accounting, finance, human resources, or related field preferred
Minimum of three years of experience in administrative support, finance, payroll, human resources, or employee benefits administration preferred
Physical Requirements / Working Conditions
Occasionally lift up to 10 pounds
Regularly communicate accurate information verbally and in writing
Frequent use of computers and standard office equipment
Ability to remain seated for extended periods during work and meetings
Ability to move between work locations as needed
Visual acuity for reviewing and analyzing data and ensuring accuracy
Hearing ability sufficient for normal conversations and detailed communication
Work involves data preparation, analysis, and use of advanced office technology
Work environment is moderately noisy (e.g., typical business office)
Requires interaction with individuals beyond basic instruction exchange
Must be adaptable to varying levels of work-related stress
