Supports the company’s financial operations through daily bookkeeping, month-end reconciliation, reporting, and administrative support to ensure accurate, timely, and efficient financial processes.
Job Duties- Perform daily bookkeeping tasks, including entering bills, client payments, and expenses into Quick Books, ensuring accuracy and completeness of all entries.
- Record inter-company transfers and billing.
- Pay bills and place online orders for supplies.
- Review vendor and customer contracts to ensure financial controls are followed and all contract components—such as renewal dates, rate changes, and insurance requirements—are properly tracked.
- Communicate with clients and vendors via phone, email, and in person regarding financial questions or documentation needs.
- Check the company PO Box and make daily bank deposits.
- Conduct past-due collections and follow up on outstanding invoices.
- Prepare weekly, monthly, and quarterly financial and budget reports.
- Complete monthly closing tasks, including reconciling bank accounts, credit cards, and petty cash.
- Reconcile vendor statements and resolve discrepancies proactively.
- Help mitigate conflicts with clients and vendors as they relate to financial matters.
- Complete general office duties, including filing, data entry, answering phones, and processing mail.
- Run errands as needed to support business operations.
- Assist with miscellaneous projects and tasks as they arise.
- Contribute positively to the High Spirits Hospitality culture by being an engaged, collaborative, and supportive team member.
- Periodically work festivals and large events in operational support roles.
- Attend and be well-prepared for all staff meetings, training, and retreats.
- Prioritize and complete tasks on time and efficiently.
- Provide exceptional customer service to employees, clients, and guests.
- Think critically and problem solve, sometimes in high-stress situations.
- Demonstrate excellent communication and organizational skills.
- Come to work with a positive attitude, be ready to work hard, and be a supportive team member.
- Periodically work events and festivals in a support role.
- Be familiar with all policies, products, and services offered by the company.
This is primarily a Monday–Friday 9:00 AM–5:00 PM role, with 1–2 weekend/evening event shifts per month during the busy season. Pay period runs Wednesday through Tuesday, with flexibility to adjust your schedule for events and for caregivers where applicable.

Perks- Non-Exempt, hourly compensation with a weekly paycheck. We are offering $20–$22 per hour.

- Requirements: at least two years of accounting experience; proficient with Microsoft Office (Outlook, Excel);
Quick Books Online experience preferred; strong customer service, organizational, and time-management skills; ability to read/write/speak English; legal authorization to work in the United States; clean criminal and credit history; commitment to diversity and Workplace Wellness policies.
