Title: Administrative Assistant to the CEO
Position: Full-Time, Hourly
Based at: TCR - Bonaventure
Position Summary: The Administrative Assistant to the CEO provides high‑level administrative and organizational support to the Chief Executive Officer, ensuring efficient day‑to‑day operations of the Executive Office. This role requires exceptional professionalism, discretion, attention to detail, and the ability to balance multiple priorities in a fast‑paced environment. The Administrative Assistant serves as a key point of contact for internal and external stakeholders, representing the CEO and the organization with maturity and professionalism.
Key Skills and Competencies:
- Associate or bachelor’s degree preferred, or equivalent experience.
- 3-5 years of administrative experience supporting senior leaders.
- Experience is a fast-paced corporate, clinical research, or healthcare environment is a plus.
- Excellent verbal and written communication skills.
- Strong organizational and time‑management abilities.
- Ability to handle confidential information with discretion.
- High level of professionalism and executive presence.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and virtual meeting platforms.
- Ability to anticipate needs and adapt quickly to changing priorities.
- Strong problem‑solving and independent decision‑making skills.

General Accountabilities:
- Organize and support executive meetings, including agenda creation, logistics, minutes, and follow‑up actions.
- Coordinate cross‑departmental meetings at the CEO’s direction, ensuring alignment and clarity of objectives.
- Track, follow up, and help drive completion of key initiatives assigned during leadership meetings.
- Serve as the primary liaison between the CEO and internal/external partners, always maintaining professionalism.
- Handle sensitive information with the highest level of confidentiality and discretion.
- Draft emails, memos, and communications on behalf of the CEO as appropriate.
- Coordinate and manage the CEO’s travel arrangements, itineraries, accommodations, and detailed trip packets.
- Process and track expense reports, reimbursements, and financial documentation in compliance with company policies.
- Support special projects, research assignments, and company initiatives directed by the CEO.
- Help manage the CEO’s priorities and ensure tasks, timelines, and deliverables stay on track.
- Assist in planning company events, leadership off‑sites, and strategic gatherings.
- Maintain and organize executive files, records, and documentation.
- Anticipate needs and proactively resolve issues to ensure smooth functioning of the Executive Office.
- Coordinate with other administrative staff, department leads, and external partners to support organizational efficiencies.
