Job Summary
Under regular direction and in compliance with standard operating procedures and policies, coordinates National Crime Information Center (NCIC) system access, certification, and compliance for the Greenville Police Department. Maintains accurate NCIC records and ensures all public safety personnel meet training and certification requirements for system access. Serves as a liaison with internal personnel, external criminal justice agencies, and court systems to ensure NCIC data accuracy and compliance with state and Federal Bureau of Investigations (FBI) standards.
Provides statistical data, documentation, and administrative support related to NCIC operations and audits. Validates NCIC records and ensures all information is accurate and up to date. Documents all records actions in compliance with FBI protocols, audit requirements, and retention standards. Supports the NCIC Coordinator by completing monthly NCIC validations sent by the FBI as well as performing second and third-party checks on NCIC entries before they are filed.
Provides administrative assistance to the Warrants Division as needed.
- Ensure Agency Personnel Maintain NCIC Certification: Monitor NCIC certifications and ensure all public safety personnel maintain qualifications for NCIC system access. Activate system access for new employees and remove access as necessary for employees pending completion of required training, certification, or re-affirmation. Maintain accurate certification records in compliance with state and FBI requirements. (45%)
- Validate NCIC Records: On a monthly basis, contact relevant court systems, warrant officers, investigators, and complainants to validate NCIC records and ensure all information is accurate and up to date. Purge outdated or invalid records as required from the NCIC system. Document all records actions in compliance with FBI protocols, audit requirements, and retention standards. Support the NCIC Coordinator by completing monthly NCIC validations sent by the FBI as well as perform second and third-party checks on NCIC entries before they are filed.
(35%) - Oversee NCIC System Administration and Compliance Support: Provide guidance and assistance to personnel on proper NCIC usage, documentation, and data entry standards. Serve as a liaison between the Police Department, Communications personnel, external criminal justice agencies, and court systems regarding NCIC policies, procedures, and compliance with state and FBI standards. Assist with NCIC audits, inspections, reporting, and compliance reviews. (10%)
- Provide Administrative Assistance: Assist in providing Warrant Division administrative assistance in the absence of their administrative staff. Update warrant status in VConnect as needed. Answer phones for the Warrants Division when staff are out of the office. (10%)

Job Requirements- Associate degree in business, accounting, or a related field.
- Over two (2) years of experience in NCIC functionality and transactions.
- Must have or obtain NCIC Full Function and Security Awareness and NCIC ATAC certification within six (6) months of employment.
- Over two (2) years of experience in telecommunications.
- Experience as an NCIC Instructor or auditor.
- Valid South Carolina Class D Driver's License.
- NCIC policies, procedures, and FBI compliance standards.

- Basic administrative and recordkeeping principles.
- Customer service and professional communication protocols.
