Client Relationship Assistant

The Client Relationship Assistant plays a pivotal role in delivering a seamless, high‑touch experience for both new and existing clients at The Wealth Training Academy, where world‑class financial guidance is matched by world‑class service. Serving as the essential link between clients, Advisors, and operations, this position requires exceptional communication, strong computer proficiency, outstanding organizational skills, and a proactive, detail‑oriented, empathetic approach.
Candidates must have a minimum of two years of experience in the securities industry and/or financial services operations
, along with a demonstrated commitment to professionalism, precision, and building long‑term client trust through every interaction.
- Serve as the primary point of contact for client inquiries via phone and in person.
- Conduct proactive “touch calls” to maintain ongoing client engagement and satisfaction.
- Deliver concierge‑level service for “A” and “A+” clients, including gifts, cards, and random acts of kindness.
- Facilitate relationships, onboarding for new clients, including processing forms and documentation.
- Update and maintain client records in the CRM/database for accuracy and compliance.
- Manage beneficiary changes, account transfers, contributions, and disbursements.
- Create account review sheets, client meeting summaries, and meeting prep packets.
- Coordinate and manage Advisors' calendars and meeting schedules.
- Maintain The Client Relationship Log, reporting updates bi‑weekly to Team Leader and Wealth Advisor.
- Track daily payments and assets moving into the firm.
- Serve as backup to the Front Desk Coordinator: mail sorting, phone calls, vendor coordination, and office supply management.
- Maintain a clean, organized, and compliant office workspace and filing system.
- Assist in seminar planning, follow‑up calls, and appointment setting.
- Help conduct client satisfaction surveys and analyze results for relationship improvements.
- 2+ years in the securities industry and financial services operations.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Exceptional interpersonal and phone communication skills.
- Strong organizational and time management skills.
- Ability to multitask and meet tight deadlines with minimal supervision.
- A team player with a client‑first attitude and professional appearance.
- Licensure: NASD Series 65 (or willingness to obtain)
- Licensure:
Insurance license for Life & Health
- Base Salary: $40,000 / Plus, depending on experience.
- Incentives:
