Position: Practice Manager (Dental Office)

Job Summary

Under the direct supervision of the Practice Management Director, the Practice Manager (Dental) is responsible for ensuring New Horizon Family Health Services procedures for appointments, cashiering, financial and health information management policies and procedures are carried out effectively at the Dental office. Reports all equipment and physical plant status changes and problems to the Facilities Director or designated administrative personnel. Obtains administrative approval for changes in daily business practices.

  • Serve as the liaison and communication channel between the Dental office and NHFHS administrative headquarters.
  • Greet and assist all visitors presenting for business matters related to the operation of the Dental office.
  • Respond to administrative telephone inquiries; ascertain the nature of the caller's business; screen as appropriate; route calls as necessary.
  • Ensure coverage of telephones at lunch or during staffing shortages as required.
  • Screen all complaints and/or requests to meet with the Chief Executive Officer.
  • Enter patient encounter data (charges) into the patient accounting system at the end of the patient visit on a daily basis.
  • Ensure accuracy of deposits, demographic and other information entered into the patient billing system.
  • Reconcile on a daily basis total charges and collections entered into the patient accounting system to actual cash collection and patient encounter forms.
  • Ensure attendance of staff members at general staff meetings.
  • Convene regular office staff meetings and ensure dissemination of agenda and minutes. Maintain a file of minutes documenting items discussed. Forward staff requests and/or concerns to the Practice Management Director as appropriate.
  • Ensure completion of the office monthly report. Forward to the Practice Management Director and/or CEO by the 10th working day of each month.
  • Supervise and evaluate assigned support staff in a timely manner.
  • Process leave requests of support staff in a timely and efficient manner.
  • Ensure appropriate processing of all requests for release of patient information in accordance with NHFHS established procedures and applicable state law. Direct medical record questions to the Health Information Management Clerk, Lead. Refer legal issues to the Chief Executive Officer.
  • Respond to inquiries regarding policies/regulation and Center services; refer media calls and calls of a technical nature to Chief Executive Officer or other designated personnel.
  • Maintain appropriate correspondence files and other files as directed.
  • Be familiar with and support the center’s efforts to implement the Institute of Health Care Improvement Chronic Care Model to improve health status and health outcomes for patients.
  • Address safety issues for staff and patient population with appropriate persons in a timely manner.
  • Promote working relationships between clinical and administrative support staff that foster collaborative, managed care delivery.
  • Mediate resolution of conflicts between providers, staff and/or clients.
Qualifications
  • Education:
    • Required: A minimum of high school diploma or equivalent
    • Preferred: Associate Degree in Business Administration, Office Management or related field
  • Experience:
    • Required: Must have at least two (2) years’ experience in customer relations, office management, medical or dental office work.
Other Requirements
  • Working knowledge of dental terminology.
  • Must display a professional attitude and maintain a professional appearance and demeanor.
  • Must be skilled in basic arithmetic computation.
  • Must have a thorough operating knowledge of modern office equipment to include: telephone, copy machine, electronic calculator, fax machine and personal computer.
  • Must demonstrate the ability to exercise sound judgment and discretion.
  • Must be able to interpret and apply written policies and procedures.
  • Must be able to correctly compute the payment information required for sliding‑fee scale and insurance co‑payment accounts.
  • Must demonstrate an above average ability to communicate effectively both orally and in writing.
  • Must have the physical capability to perform required tasks.
