Position: CUSTOMER SVC REP

Position Description

Maintain professional relationships with customers, carriers and other KM departments/employees. Handle all required paperwork as defined in the truck Operating Procedures to efficiently execute customer tank truck orders in Kinder Morgan's Galahad inventory system, customer inventory systems, proficient in TEAMS and Microsoft Office. Requires close attention to detail, accurate calculations, to avoid serious and costly errors. Working closely with multiple departments as a team to avoid conflicts and meet all customers’ needs / multiple demands.

Must be able to multi‑task – creating plant operating orders, taking phone calls, interfacing with truck drivers, communicating via radio, contacting customers to resolve conflicts. Issue seals, SDS, and DV slips to driver. Obtain tare and gross weights of trucks; calculate quantity of product loaded. Create an accurate legal D.O.T. BOL that meets standards, D.O.T. and customer requirements. Accurately complete truck movement data in the KM and customer inventory systems.

Provide 100% customer satisfaction. Follow through on customer‑related issues to ensure complete customer satisfaction. Maintain proficiency and accuracy using customers’ orders, Kinder Morgan Order creation system (Galahad), and Kinder Morgan's dual verification procedure. Handle issues and problems related to the movement of the customers’ products by interfacing with external Customer Service Supervisor, Operations Supervisor, CSRs and the Sales Department to offer and execute solutions and adjustments in a timely manner.

Cross trained on all KM accounts. Must be able to satisfy all customer requirements as the business demands. Promote teamwork among co‑workers to ensure all customers are 100% satisfied in an efficient and timely manner. Perform job‑related special assignments as required. Monitor customer inventory to ensure sufficient space/product available to complete requested orders to load or discharge trucks. Prepare daily / weekly / monthly customer reports and or Bills of Lading.

Position Requirements

Education Requirements:

High school diploma and/or GED. College experience is a plus.

Job Requirements:

Must have at least 3-5 years’ experience working in the terminal industry and have knowledge of DOT rules and regulations. Must have experience dispatching, scaling trucks and calculating loads according to DOT regulations. Individuals must have the ability to pass pre‑employment testing. Individuals must possess excellent math skills (addition, subtraction, multiplication, division, percentages and fractions) as well as being very detail oriented in various applications such as Excel, Data Entry, TEAMS and Outlook.

Must have the knowledge and ability with systems such as SAP and/or any other inventory systems. Must be very detail oriented and have the ability to problem‑solve and troubleshoot. Must be able to work in a fast‑paced environment with the ability to multi‑task as well as manage the dispatching office with minimal supervision. Must be able to perform work as directed by management.

Individuals must possess excellent customer service skills as well as the ability to work with written and verbal instructions. Must be able to work with a team, take directions from supervisors, adhere to required work schedules, focus attention on details, and follow work rules, as well as take on additional job responsibilities as needed. Must work quickly, independently and accurately under pressure.

Maintain a regular, dependable attendance and high level of performance. Physical requirements include, but may not be limited to walking up and down stairs, standing for extended periods of time and carrying up to 25 pounds. You must possess and maintain a valid driver’s license and a driving record satisfactory to the company and its insurers. Mandatory drug screen and background check upon hire.
