OverviewWe are seeking a proactive and energetic Administrative Assistant with a minimum of 5 years of experience supporting senior executives in a fast-paced, professional environment. Based in Greenwich, CT, this role is critical to ensuring the seamless operation of executive schedules, departmental coordination, and administrative execution.
The ideal candidate will possess exceptional organizational skills, be adept at managing multiple priorities, and demonstrate sound judgment, discretion, and a strong customer service orientation.
Responsibilities- Manage all administrative aspects for multiple senior executives, including complex calendar management, scheduling meetings, and handling phone/email communications.
- Coordinate domestic and international travel arrangements, logistics, and itineraries.
- Support departmental initiatives and events including on-site meetings, special projects, and ad hoc tasks.
- Maintain internal relationships and liaise across departments to ensure consistent workflow and information sharing.
- Handle sensitive and confidential information with the highest level of discretion and professionalism.
- Submit and track expense reports, invoice processing, and assist with budget-related tasks.
- Anticipate executive needs and proactively address logistical and operational details.
- Prioritize multiple demands with a sense of urgency and a focus on accuracy and follow-through.
- 5+ years of administrative experience supporting senior leaders in a corporate or professional services setting.
- High proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Superior organizational, multi-tasking, and time-management skills.
- Exceptional verbal and written communication abilities.
- Strong interpersonal skills and the ability to work collaboratively across all levels of an organization.
- Proven ability to think critically and solve problems proactively.
