Administrative Assistant – Legal & Compliance

We are seeking a highly organized and proactive Administrative Assistant to support a fast-paced Legal and Compliance team at a leading investment firm. This role is ideal for someone who thrives in a detail-oriented environment, enjoys managing multiple priorities, and takes pride in being a reliable partner to a busy team.

Key Responsibilities
  • Manage heavy calendars, phone coverage, and both electronic and physical filing
  • Maintain databases, document management systems, and reporting tools
  • Process legal invoices and manage approvals, working closely with external billing teams
  • Track and update attorney bar registrations and compliance requirements
  • Coordinate domestic and international travel, including detailed itineraries
  • Prepare expense reports for the Legal and Compliance department
  • Assist with planning and execution of team meetings and events
  • Provide reception coverage and general office support as needed
Qualifications
  • 3+ years of administrative experience, ideally in a professional services or financial services environment
  • Strong proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
  • Exceptional attention to detail, organization, and follow-through
  • Excellent written and verbal communication skills
  • Ability to manage deadlines, maintain processes, and handle sensitive information with discretion
  • Professional, proactive, and team-oriented approach
