A leading financial services organization is seeking a highly organized and proactive Executive Assistant to support a fast‑paced business development and client‑facing team. This newly created role offers the opportunity to work closely with senior leadership and become an integral part of a collaborative, high‑performing environment.

The ideal candidate is a polished professional who thrives in a team‑oriented setting, enjoys managing multiple priorities simultaneously, and brings strong experience supporting senior professionals within financial services.

Responsibilities
  • Provide administrative support to a team of senior professionals, including executive‑level leaders and client‑facing stakeholders
  • Manage complex calendars, scheduling, and meeting coordination across multiple time zones
  • Coordinate domestic and international travel arrangements and detailed itineraries
  • Prepare and process expense reports with accuracy and timeliness
  • Serve as a central point of coordination for team logistics, meetings, and internal communications
  • Prioritize competing requests while maintaining exceptional attention to detail
  • Build strong relationships across departments and act as a trusted partner to the broader team
  • Assist with special projects and ad hoc initiatives as needed
Qualifications
  • 5–15 years of Executive Assistant, Team Assistant, or Administrative Assistant experience
  • Prior experience within financial services, asset management, investment management, insurance, banking, private equity, hedge funds, or related industries required
  • Strong calendar management, scheduling, and organizational skills
  • Exceptional communication and interpersonal abilities
  • Highly detail‑oriented with a proactive and solutions‑focused mindset
  • Ability to operate effectively in a fast‑paced, deadline‑driven environment
  • Professional demeanor and strong sense of discretion
What We're Looking For
  • A true team player who enjoys supporting a group rather than a single executive
  • Someone who communicates effectively and builds relationships across all levels of an organization
  • An individual who takes ownership, anticipates needs, and consistently delivers high‑quality work
  • A resourceful professional who can balance multiple priorities with confidence and accuracy
  • Annual performance‑based bonus
  • 100% employer‑paid medical, dental, and vision coverage
  • Pension program
  • Hybrid work schedule (Tuesday–Thursday in office)
  • Daily lunch stipend
  • Fully stocked kitchen with complimentary breakfast items, snacks, and beverages
  • Exceptional culture with a longstanding reputation as a top employer

This is an excellent opportunity for an experienced administrative professional seeking a stable, team‑oriented environment with strong benefits, exposure to senior leadership, and long‑term growth potential within a respected financial services organization.
