About the RoleThe Legal & Compliance team is seeking a highly organized Administrative Assistant to provide day-to-day support to attorneys and business professionals. This role requires exceptional attention to detail, strong organizational skills, and the ability to manage multiple priorities in a fast-paced, confidential environment.
Responsibilities- Coordinate complex calendars, schedule meetings, and provide administrative support to members of the Legal & Compliance team.
- Manage incoming calls, correspondence, and both electronic and physical filing systems.
- Maintain databases, reports, and document management systems, ensuring information is accurate and up to date.
- Process legal invoices, coordinate approvals, and work closely with outside counsel and billing departments on payment matters.
- Track attorney licensing, continuing education requirements, and related compliance records.
- Arrange domestic and international travel, including detailed itineraries and logistics.
- Prepare and reconcile expense reports in a timely manner.
- Assist with planning and coordinating department meetings, events, and team activities.
- Provide reception coverage and general office support when needed.
- Minimum of 3 years of administrative support experience in a professional corporate environment; financial services or legal industry experience is preferred but not required.
- Bachelor's degree is preferred.
- Advanced proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
- Outstanding organizational skills with exceptional attention to detail and accuracy.
- Strong written and verbal communication skills.
- Ability to prioritize competing demands, meet deadlines, and maintain strict confidentiality.
- Self-motivated, resourceful, and proactive, with a collaborative and service-oriented approach.
Base salary: $70k-80k base + OT + Bonus, depending on experience and qualifications.
