Seeking a detail-oriented Administrative Assistant fluent in Mandarin and English to support leadership and research teams with a variety of administrative and operational tasks. This role requires strong organizational skills, effective communication, and the ability to manage multiple priorities in a dynamic environment.
Responsibilities:- Coordinate and manage calendars, appointments, and meeting schedules for team members and leadership.
- Organize and facilitate both virtual and in-person meetings, including preparing agendas and documenting meeting notes as needed.
- Serve as a communication liaison, supporting interactions with internal teams, external partners, vendors, and consultants.
- Arrange travel logistics, process expense reports, and assist with meeting planning and logistics.
- Maintain accurate records, support document preparation, and manage administrative tracking and filing systems.
- Assist in planning and executing company events, scientific meetings, and conferences.
- Oversee office supply inventory, equipment maintenance, and general office organization.
- Translate and facilitate communications between Mandarin and English speakers, ensuring clear and effective collaboration.
- Associate's or Bachelor's degree, or equivalent administrative experience.
- Fluency in both Mandarin Chinese and English, with strong written and verbal communication skills.
- Excellent organizational, time management, and multitasking abilities with keen attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
- Familiarity with collaboration platforms such as Zoom and Microsoft Teams.
- Professional, reliable, and able to handle confidential information with discretion.
- Ability to work independently and collaboratively in a fast-paced environment.
- Experience in biotechnology, healthcare, or scientific research environments is a plus.
- Experience coordinating international meetings and communications is preferred.
