My duties and responsibilities will include:
- Manage the activities at reception during the night shift.
- Ensure communications and follow-up with day shift on any issues, guest requests or special requirements.
- Review late arrivals, next day early arrivals and departures to plan for the next day’s activities. Coordinate arrivals, departures, and billing requirements.
- Run daily reports, run night audits, and prepare all necessary reports to be sent to management.
- Make sure the FO departments’ credit card slips and total sales numbers match the system.
- Check guest profiles and guest history prior to the guest arrival and be familiar with all the information.
- Prepare the arrival packs, incl. Registration cards, welcome letters, cutting key cards and cold towels for the next day's arrivals.
- Notify concerned departments regarding guest arrivals and ensure that they have the guests’ history and preferences information before the arrival.
- Greet guests on arrival and conduct check-in and registration procedures in an efficient and friendly manner, using guest names whenever possible.
- Offer welcome drink and cold towel on arrival and ensure the guests experience our arrival and departure rituals.
- Coordinate guest requirements with other departments and follow up to ensure all queries are handled to maximum satisfaction.
- Ascertain guest satisfaction, collect keys, ensure that all guest billing procedures are handled correctly, minimizing rebates during check out and bid guest farewell.
- Drive the buggy and assist with picking up, dropping off and carrying guests’ luggage in cases of early departures or late arrivals.
- Maintain a balanced bank assigned by the resort. Make change, cash checks, and exchange foreign currency. Reconcile all transactions at the close of each shift.
- Maintain and update guest history files and disbursement of relevant information ensuring guest requests and preferences are implemented whenever possible.
- Liaise with night housekeeping team to ensure that rooms are serviced according to guests’ preferences and requirements and that vacant rooms are cleaned according to arrival schedules.
- Maintain the provided night housekeeping service in the absence of the housekeeping team, if required.
- Liaise with night Engineering team to ensure swift response to room maintenance problems.
- Liaise with the transportation company to ensure efficient guest transfers.
- Knowledge of all facilities and services offered by the resort including all room rates, categories, location and layout, credit policy of the hotel and reservation coding. Understand the hotel's policy on guaranteed reservations and no-shows.
