JOB

SUMMARY-

The visiting administrative assistant performs administrative duties that are required to allow visitors into the secure facility. Duties include processing applications and conducting background checks. This position will perform various data entries as well as tracking multiple types of information. This position may also cross training to assist the Montana State Prison main lobby entrance as needed.

  • Greet visitors, answer inquiries and direct visitors to the appropriate person according to their needs.
  • Answer telephones and give information to callers, record messages and transfer calls to appropriate individuals.
  • Handle incoming and outgoing mail, emails, and faxes.
  • Manage paper or electronic filing systems, recording and verifying information, updating paperwork, or maintaining documents, such as correspondence and other materials.
  • Operate office machines, such as photocopiers and scanners, facsimile machines, voice mail systems, and personal computers.
  • Maintain and enter information into databases.
  • Monitor and maintain office supplies and equipment.
  • Schedule and confirm appointments, events, travel, or meetings for clients, customers, or supervisors.
  • Provide services to staff or customers, such as order placement, account information, or invoice processing.

Type and distribute meeting agendas, notes, routine correspondence, or routine reports or take meeting minutes.

QUALIFICATIONS -
  • High school diploma

2) been convicted of engaging in or attempting to engage in sexual activity in the community facilitated by force, overt or implied threats of force, or coercion, or if the victim did not consent or was unable to consent or refuse; or
3) been civilly or administratively adjudicated to have engaged in activity as described in the latter, are not qualified for this position.

Tobacco Free - The use of all tobacco products, including smokeless tobacco products and tobacco substitutes is prohibited in Department of Corrections buildings. In secure care facilities possession of tobacco products is prohibited.
