Position Overview
The seasoned senior project manager plays a pivotal role in supporting the Project Management team across diverse accounts and client projects. This role involves collaboration with cross-functional teams and direct client engagement if required. In addition to ensuring project delivery within established timelines, budgets, and scope, at the senior level you will guide and mentor junior team members and be involved with process improvements as needed.
Key Responsibilities- Project Leadership: Spearhead a diverse range of client projects, ensuring exceptional quality, adherence to deadlines, and alignment with budget constraints. Implement robust project plans and workflows with an understanding of the creative and design project life cycle. Ability to manage large volumes of work.
- Client and Internal Collaboration: Act as a central communication hub among clients, Client Service teams, and internal departments including Creative, Design, Content, Operations and Studio. Foster positive relationships and efficient collaboration to achieve project objectives.
- Process Improvement: Contribute to the optimization of project management processes, increasing efficiency and effectiveness across client and internal projects. Leverage tools to enhance team workflow and project tracking, and proactively identify roadblocks with strategic solutions.
- Resource Coordination: Coordinate resource allocation with studio operations and internal schedulers, ensuring availability and optimal deployment of talent. Manage PM load levels and advise when the team has capacity for more work.
- Training/Onboarding: Provide training, guidance, and mentorship to junior team members.
- Develop and maintain production execution plans, including project scope, QC plan, objectives, deliverables, milestones, timelines, resources, and project dashboards.
- Communicate status of production/manufacturing relative to overall project schedule, requirements, deadlines, and structure to necessary departments and team members.
- Ensure projects flow from conception to completion with high quality, budget adherence, and timeliness.
- Monitor progress, handle issues and escalations, document and follow up on critical actions, decisions, issues and risks.
- Develop a detailed project plan/tracker to monitor progress and create/maintain project documentation.
- Develop understanding of internal team operations and processes; manage changes to scope, schedule, and costs with CS to ensure costs are captured.
- Review and validate mandatory project information prior to kick-off; verify design briefs and specifications from account team and/or client.
- Procure assets (dielines, copy, packaging/printer specs, reference materials) and provide flexible solutions to production roadblocks.
- Write work orders and create project tasks in the project management tool; facilitate clear briefings with Creative/Adaptive teams in partnership with CS.
- Act as a liaison between the creative team, external partners, and account team to obtain missing information and materials; participate in technical reviews and onboarding meetings.
- Provide final QA on all assets to ensure alignment with the client brief before release; lead/post-mortem discussions and report issues to management as needed.
- BA or higher in Graphic Management Services (packaging concentration asset), or Design or Marketing/Business Administration.
- 6+ years of proven project management experience, preferably in a design environment (packaging concentration preferred).
- Understanding of branding, design, and print-production processes (Flexo, Litho, Gravure).
- Excellent communication, leadership, and multi-project management in a fast-paced agency setting.
- Strong proficiency with Microsoft Office, project management tools, and possibly Adobe software; solution-oriented and able to think critically.
- Intermediate ability to read/interpret engineered drawings.
- Demonstrated ability to lead by example, foster collaboration, and drive results.
- Solutions-oriented with strong attention to detail, analytical skills, and proactive problem solving.
- Organized, self-starter with ability to prioritize and a deep interest in brand stewardship and project management excellence.
