Job Summary
Coordinates office functions and activities to maintain an effective and efficient department. Manages schedules/work for the Director and any Managers of Care Management. Acts as liaison and coordinates all complex clerical duties of the division. Processes payroll, bill payment, and other department requests. Oversees delivery of Medicare letters and keeps accurate records in electronic systems.
Responsibilities- Maintain employee schedules, track PTO, and manage daily assignments.
- Coordinate activities related to Care Management Policy and Procedures manual, including maintenance of the CM website and communication of policy updates.
- Process payroll for Care Management and maintain accurate employee statistics.
- Coordinate appointments, meetings, and projects for the Director and other managers; manage meeting agendas and minutes.
- Process bills for the Care Management department (e.g., BSBC PROM Invoices, Med Assist Fund, Cost Transfers, Zoll Life vest).
- Organize and coordinate all office activities, including ordering supplies.
- Create and maintain employee files and licenses.
- Assist in utilization management functions: obtain authorizations, address concurrent denials, schedule review dates per payer guidelines.
- Maintain and monitor CM Workques.
- Participate in safety initiatives and risk mitigation measures; complete all position and unit safety‑related competencies in a timely manner.
- Perform other duties as assigned.
- High school diploma or equivalent.
- Preferred: at least 2 years of relevant experience.
