Job Overview
Amentum is seeking a Lab Instrumentation Planner/Scheduler to join our team of multi‑skilled technicians in a pharmaceutical facility in Groton, CT. Typical work schedule is 1st shift (6:00am to 2:30pm EST, Monday‑Friday). Scheduled days and hours may vary based on business demand, and overtime may be required during seasonal peaks.
This role serves as a direct liaison between the scientific community and both on‑site and external vendors. The planner manages work planning and scheduling for instrumentation teams, tracks department metrics, and collaborates with research scientists, vendors, environmental health & safety, and facilities partners.
Responsibilities- Provide logistical coordination with other facility partners, such as inventory control, purchasing, customers, security, and engineering.
- Provide backup call center coverage per schedule.
- Maintain proficiency in CMMS work order system to update equipment history and access material inventory management system.
- Schedule work with research and service departments, print appropriate work orders, and track and report the completion of work.
- Provide data for departmental reports.
- Coordinate proper safety permitting, control of outages, equipment maintenance, and calibrations.
- Estimate work order completion times and compare to actual performance.
- Understand customer requirements, SLAs, KPIs, and provide data to track team performance metrics based on established standards.
- Maintain professional and customer‑oriented relationships with internal and external customers and service providers.
- Collaborate with management leaders to coordinate year‑beginning activities associated with purchase order creation.
- Partner with business customers to reconcile vendor conflicts, coordinating corrective actions until resolution is complete.
- Initiate purchase change orders to adjust funding, time limits, and quotes as appropriate.
- Manage all aspects of invoice reconciliation, validate purchase order, work order, and expense coding, confirm alignment with service quote and payment terms, verify services performed, approve processes, and clear unmatched invoices.
- Work closely with Accounts Payable to prevent double billing or incorrect payment.
- Work closely with Procurement to ensure vendor accountability.
- Comply with all company policies and procedures and adhere to company standards.
- Support safety program and participate in monthly safety training meetings.
- Identify and implement cost‑saving initiatives.
- Provide monthly KPI reports as directed by the Site Manager.
- Coordinate and schedule all non‑regulated monthly PM/CALs in a timely manner.
- Monitor the completion of services to the satisfaction of customers.
- Perform other job‑related duties and special projects as requested.
- 3–5 years of relevant experience or equivalent in the subject matter area.
- Bachelor's degree in facility management, data management, or related field (or equivalent education and experience).
- Working knowledge of CMMS such as EAMS, MAXIMO, or related database systems.
- Ability to use Microsoft Office programs, especially Excel (formulas, charts, lookups), and Teams functionality.
- Strong written and oral communication skills, good organizational skills, and sound judgment.
- Must be a US citizen (required for facility credentials/authorization).
- Experience as an administrative specialist or support role in a pharmaceutical, maintenance service, or corporate environment.
- Experience in planning/scheduling in manufacturing, maintenance, pharmaceutical, or related service field.
- Extreme attention to detail and high level of organizational skills.
Requires the ability to interact with all clients in a professional and friendly manner despite periods of stress.
Must wear steel‑toe safety shoes, safety glasses, gloves, hard hats, and other personal protective equipment as needed.
CompensationHourly rate: $29.00–$35.00 (actual compensation may vary based on job responsibilities, education, experience, skills, internal equity, market data, applicable collective bargaining agreements, and relevant laws).
