Commercial Sales Coordinator

Purpose:

Serve as the central commercial execution resource responsible for quotation management, customer service and sales support across Polycorp’s Rail businesses. The role owns the quote process from request through submission and follow-up, ensuring customers receive timely responses and opportunities are systematically managed through Hub Spot and ERP.

Responsibilities:

• Serve as the primary point of contact for customers, providing prompt, professional, and courteous assistance via phone, email, and other communication channels.
• Resolve customer concerns, complaints, and service issues by identifying solutions and ensuring timely follow-up.
• Process quotes and customer orders and other account-related transactions accurately and efficiently.
• Maintain detailed and accurate customer records, documenting interactions and resolutions in company systems.
• Maintain and update ERP system with customer information, sales, and other information as required.
• Follow Company processes and procedures, including QMS.
• Collaborate with internal departments to address customer needs and ensure a seamless customer experience.
• Proactively communicate updates regarding order status, service requests, and issue resolution.
• Build and maintain positive customer relationships through exceptional service and ongoing support.
• Identify opportunities to improve customer satisfaction and communicate customer feedback to leadership.
• Meet established service level standards, response times, and quality expectations while maintaining a customer-focused approach.

Travel Requirements:

• Willingness and able to travel internationally (including the United States) approximately 10-15% of the time to support customers and industry events.

Skills Required:

• Strong communication and relationship-building skills.
• Experience in business development, inside sales, customer service, or lead generation is preferred.
• Ability to conduct research, identify opportunities, and qualify prospects.
• Ability to coordinate multiple internal stakeholders required.
• Strong organizational skills and attention to detail.
• Experience using CRM systems, preferably Hub Spot.
• Experience using ERP systems, Syspro a plus.
• Self-motivated, goal-oriented, and comfortable working independently.
• Proficiency with Microsoft Office applications and sales technology tools.

Minimum Qualifications:

• Post-secondary education in Business Administration, Sales, Marketing, or a related field.
• Minimum of 2 years experience in sales coordination, customer service, or a related role within manufacturing or durable goods industries.
• Proficiency in Microsoft Office Suite, particularly Excel and Outlook.
• Strong organizational skills with the ability to manage multiple tasks and deadlines effectively.
• Excellent verbal and written communication skills in English.
