Job Title:
Quality Clerk
The Quality Clerk is responsible for supporting the organization's Quality Management System by maintaining government property records, managing calibrated equipment documentation, controlling manufacturing and quality records, coordinating with vendors, and assisting with internal and external quality audits. This position ensures compliance with customer, regulatory, and company quality requirements while maintaining accurate records and supporting continuous improvement initiatives.
Essential Duties and Responsibilities Government Property Management- Maintain accurate records of government-owned property in accordance with contractual and regulatory requirements.
- Conduct periodic inventories and reconcile discrepancies.
- Track property movement, transfers, maintenance activities, and disposition actions.
- Ensure proper identification, accountability, and safeguarding of government assets.
- Assist with government property audits and inspections.
- Maintain calibration records and databases for measuring and test equipment.
- Monitor calibration due dates and coordinate calibration activities with approved service providers.
- Ensure calibrated equipment is properly labeled and available for use.
- Remove expired or nonconforming equipment from service.
- Maintain calibration certificates and associated documentation.
- Coordinate with calibration vendors to schedule services and obtain required certifications.
- Participate in internal quality audits and assist auditors with record collection and documentation review.
- Support external customer, regulatory, and certification audits.
- Document audit findings and assist in tracking corrective actions to closure.
- Verify implementation of corrective and preventive actions as assigned.
- Retrieve and organize records and documentation required for audits and inspections.
- Scan, index, and maintain manufacturing documents, records, certifications, and quality-related files in accordance with company procedures.
- Organize electronic and hard-copy documentation to ensure timely retrieval and accessibility for audits, inspections, customer requests, and production needs.
- Maintain document control systems and ensure records are current, accurate, and properly archived.
- Retrieve and distribute manufacturing and quality documentation as requested by internal departments, customers, auditors, or regulatory agencies.
- Maintain quality records in accordance with company procedures and retention requirements.
- Assist in the preparation, revision, and control of quality documents.
- Generate reports related to government property, calibration status, and audit activities.
- Communicate with vendors regarding calibration services, certification documentation, quality records, and corrective action requests.
- Coordinate with suppliers to obtain required quality documentation, including Certificates of Conformance (CoC), calibration certificates, and material certifications.
- Track vendor responses and maintain records of communications related to quality and compliance activities.
- Follow up with suppliers to ensure timely receipt of required documentation and records.
- Support quality improvement initiatives and compliance activities.
- Assist with investigations of nonconformances and corrective actions.
- Promote adherence to quality standards, procedures, and regulatory requirements throughout the organization.
- Identify opportunities to improve recordkeeping, document control, and compliance processes.
- High school diploma or GED required.
- Associate degr e in Quality Assurance, Business Administration, Manufacturing Technology, or a related field preferred.
- 1--3 years of experience in quality assurance, document control, inventory management, government property administration, manufacturing support, or a related field preferred.
- Experience working in a manufacturing, aerospace, defense, or regulated environment is highly desirable.
- Familiarity with ISO 9001, AS9100, or similar quality management systems is a plus.
- Knowledge of quality management systems and auditing principles.
- Understanding of government property accountability requirements preferred.
- Familiarity with calibration systems and measurement equipment control.
- Strong organizational, filing, and recordkeeping skills.
- Ability to manage electronic document management systems.
- Proficiency in Microsoft Office applications, particularly Excel, Word, and Outlook.
- Excellent attention to detail and accuracy.
- Strong written and verbal communication skills.
- Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
- Ability to sit, stand, and walk for extended periods.
- Ability to lift and move files, records, and equipment weighing up to 25 pounds.
