Purpose of the role
Provide application drafting and document management support to the Immigration Case Manager and Manager - Visa Applications Stream in the preparation of Australian visa applications.
Support the visa application stream by maintaining structured case files, trackers and communication records.
This is a supervised support role and does not involve the provision of legal advice. All client-facing outputs are reviewed and approved by authorised personnel in accordance with internal protocols.
Responsibilities and duties
Document management
Assist with collection, formatting and labelling of client documents using approved templates and checklists.
Upload and organise files in case management systems such as Migration Manager.
Track document submissions, maintain version control and ensure documents are filed in the correct matter.
Administrative support
Update case records, task checklists and preparation timelines under supervision.
Monitor progress on required items and escalate delays or missing documents to the Immigration Case Manager or Manager - Visa Applications Stream.
Assist in organising case files for review, closure or archiving in line with internal procedures.
Communication assistance
Coordinate with Responsible Lawyers/Clients to obtain missing or additional documents as
instructed by Visa Stream Manager
Coordinating with clients, agents, or internal teams for
information and document collection.
Record communication activity using approved templates and log correspondence accurately in case systems.
Maintain accurate records and tracking of all visa applications.
Follow up on application status and communicate updates to
applicants or management.
Team coordination
Support the assigned Immigration Case Manager and Manager - Visa Applications Stream in achieving matter readiness and internal deadlines.
Participate in team briefings, training sessions and structured feedback processes.
Collaborate with colleagues to support shared team goals and manage peak workloads.
Additional duties
Stay updated with changes in visa rules, policies and documentation requirements as notified internally.
Carry out other reasonable responsibilities as assigned to support Loch’s service delivery obligations.
Key deliverables
Visa application files that are complete, well organised and ready for internal legal review.
Structured updates to internal checklists, trackers and case systems in line with task completion.
Client documents labelled, formatted and uploaded in accordance with internal standards.
Communication records maintained in the correct templates and stored in the appropriate locations.
Compliance and confidentiality
All case preparation must comply with internal confidentiality protocols and data handling procedures.
Work must be completed using approved systems, including Migration Manager and Google Workspace.
No client-facing documents or communications are to be submitted without review and approval by the Immigration Case Manager, Manager - Visa Applications Stream and, where applicable, the supervising Australian legal team.
Client data must be accessed only for legitimate business purposes and handled in accordance with Loch’s professional obligations.
