Front Office Executive

Role Overview
The Front Office Executive will serve as the first point of contact for visitors, clients, and employees, ensuring smooth front-desk operations and a professional workplace environment. The role requires strong administrative coordination, communication management, and customer service skills to support daily office functioning efficiently.
Key Responsibilities
Front Desk & Visitor Management
- Manage the reception area and handle all front-desk operations
- Greet visitors and clients professionally and guide them appropriately
- Maintain visitor logs and follow access/security protocols
- Ensure reception and common areas remain clean and presentable
Communication Management
- Handle all incoming and outgoing calls and route them to the appropriate departments
- Take accurate messages and ensure timely follow-ups
- Respond to general email and telephone inquiries
- Provide accurate information about the organization’s services
Administrative Support
- Maintain and organize files, documents, and records
- Coordinate meeting room bookings and meeting arrangements
- Manage courier, dispatch, and postal services
- Monitor and replenish office stationery and supplies
- Support day-to-day administrative and operational tasks
Customer Service & Brand Representation
- Deliver a high standard of customer service to visitors and clients
- Address and resolve queries or complaints in line with company policies
- Escalate issues to management when necessary
- Represent the organization professionally and build positive brand perception
Compliance & Safety
- Adhere to all safety and security procedures
- Report unsafe situations or incidents to management
- Attend required meetings and training sessions
Qualifications & Requirements
- Bachelor’s degree required
- 3+ years of experience in customer service, front desk, or a related professional role
- Proficient in English (verbal and written communication)
- Professional appearance and presentation
