Role Overview
We are seeking a proactive and highly organized Executive Assistant to provide comprehensive administrative and coordination support to senior leadership. The ideal candidate will play a crucial role in ensuring smooth day-to-day operational efficiency by managing schedules, handling communication, maintaining documentation, and assisting in strategic follow-ups.
This role requires strong professionalism, confidentiality, time management, and the ability to handle multiple responsibilities with attention to detail.
Key Responsibilities
1. Leadership & Calendar Management
Manage and maintain leadership calendars, appointments, meetings, and travel schedules.
Coordinate internal and external meetings, including agenda preparation and meeting documentation.
Ensure timely follow-ups on action items, commitments, and pending tasks.
2. Documentation & Reporting
Prepare business reports, presentations, summaries, and internal documentation.
Maintain proper records of important communications, project updates, and operational reports.
Assist in drafting emails, business communication, and official correspondence on behalf of leadership.
3. Coordination & Communication
Act as a coordination bridge between leadership, internal teams, and external stakeholders.
Facilitate communication flow across departments to ensure alignment and timely execution of tasks.
Assist in organizing meetings, events, and business discussions when required.
4. Task & Priority Management
Track daily operational tasks, deadlines, and deliverables assigned by leadership.
Monitor progress of ongoing projects and ensure timely completion.
Support leadership in decision-making by organizing relevant data and information.
Required
Skills & Qualifications
Minimum 1 year of experience as an Executive Assistant, Administrative Coordinator, or similar role.
Strong verbal and written communication skills.
Proficiency in MS Excel, MS PowerPoint, and MS Word.
Excellent organizational, multitasking, and time management abilities.
High level of discretion, confidentiality, and professionalism.
Ability to work in a fast-paced and deadline-driven environment.
