Qualifications
  • License: N/A
  • Education:
    • Required – High school diploma or equivalent.
  • Experience:
    • Required – One (1) year experience providing office support, including answering phone calls. Working with parents and students required. Spanish speaking required.
    • Preferred – One (1) year experience providing office support, including answering phone calls. Experience working with parents and students required. Spanish speaking required. Experience in handling these duties in a public‑school office setting preferred.
  • Essential Performance Responsibilities
  • Assists the Director of Language Acquisition by supporting the Language Acquisition program.
  • Assists the Director of Language Acquisition in maintaining documentation for grant compliance.
  • Provides office support for the department including printing, filing, and mailing reports as well as communicating with administration, teachers, and parents.
  • Responsible for filling supply requisitions and inventory of supply orders for the department.
  • Types and files purchase orders as requested by the Director of Language Acquisition.
  • Contacts various vendors for quotes, purchasing of materials, inventory of materials, and disposition of materials.
  • Performs data entry in various data platforms/programs.
  • Assists with maintaining data so that the department’s budget remains accurate.
  • Assists with the Dual Language lottery placements.
  • Assists with registration of new students, welcoming families, review of records, and student placement.
  • Sends records of transferring students to requesting school.
  • Assists with the department with student assessments.
  • Assists with the coordination of evening events and participates in these events, as needed.
  • Coordinates the logistics of night classes.
  • Distributes papers to teachers and students.
  • Distributes mail to teachers and staff.
  • Assists with managing the TRIN (Translators and Interpreters) program.
  • Assists the ELL Coordinator and the Spanish Interpreter, Translator and Community Outreach Specialist as needed.
  • Assists the Director of Educational Supports and Innovation in maintaining 504 compliance and Record Keeping
    • Tracking and monitoring timely submission of 504s
    • Review for document completion
    • Maintaining 504 data by building
    • Entering and updating data in data systems
    • General record keeping
  • Assists the Director of Educational Supports and Innovation in overseeing Attendance/Truancy Support in partnership with school‑based attendance and truancy staff.
  • Assists the Director of Educational Supports and Innovation in monitoring Home/Hospital records
    • Maintains student records
    • Assists with logging and processing timesheets
  • Provides translation and interpretation as needed.

    Skills and Abilities

    Technical: Must be proficient in utilizing data networking programs and printers to perform the work. Must be able to use the district email system, Google platforms, Microsoft Office, and the district’s attendance system.

    Interpersonal: Must be able to develop and maintain positive relationships with staff, parents, students, businesses and community. Must have strong organization, communication and interpersonal skills; and a strong sense of teamwork. Must be able to cope with deadline pressures; make difficult decisions that impact the organization in a positive sense; work harmoniously with the community, students, parents, staff, and administration, etc.;

    communicate effectively with students, parents and staff; exhibit sound judgment in dealing with people; and follow directives given by Administration. Must also be a creative problem solver; and empathetic, humanistic and open‑minded.
