Overview
The Volunteer Coordinator plays a vital role in advancing Bergen Volunteer Medical Initiative’s (BVMI) mission by supporting, engaging, and coordinating the volunteers who make our healthcare center possible. This part-time position serves as a primary point of contact for volunteers and works closely with the Volunteer Manager to ensure a positive, organized, and meaningful volunteer experience. The ideal candidate is people-centered, highly organized, and proactive—someone who enjoys building relationships, improving systems, and supporting a diverse group of volunteers with varied backgrounds and lived experiences.
Dutiesand Responsibilities
Volunteer Recruitment & Onboarding
- Support volunteer recruitment efforts, including researching new recruitment opportunities
- Coordinate onboarding processes for new volunteers
- Maintain accurate volunteer records, ensuring all required documentation is completed and up to date (confidentiality agreements, medical clearance, background checks, etc.)
Volunteer Engagement & Communication
- Serve as a point of contact for volunteers, responding to questions and providing ongoing support
- Communicate regularly with volunteers via email and other channels
- Assist with welcoming new volunteers through photos, emails, and internal communications
- Support volunteer recognition efforts, including thank-you messages, cards, and volunteer spotlights on the website
Database, Website & Scheduling Support
- Maintain and update the volunteer database
- Update and manage volunteer-related content on the BVMI website, including meeting notices, leadership updates, and announcements
- Assist with maintaining volunteer schedules and provide backup scheduling support as needed
- Assist with volunteer-related reporting and data tracking
Events, Outreach & Special Projects
- Assist with planning and organizing volunteer appreciation events, including the Volunteer Holiday Party
- Support school supply drives, holiday gift drives, health fairs, and outreach initiatives
- Education - High School Diploma required;
Associate’s or Bachelor’s degree preferred - Experience - 1+ years in healthcare, non-profit, or high-touch customer service. Experience with volunteer programs is a major plus.
- Technical Skills - Proficient in Microsoft Office (Word, Excel, Outlook). Ability to quickly learn volunteer management software and CMS tools.
- Communication - Exceptional interpersonal skills; ability to engage authentically with people from diverse socioeconomic and cultural backgrounds.
- Attributes - Highly organized, detail-oriented, and capable of managing sensitive information with total confidentiality.
