POSITION SUMMARY

The Executive Assistant (EA) provides high-level administrative, operational, and sales support to the Executive Team. This role is best suited for a proactive, adaptable, and resourceful individual who thrives in a fast-paced environment and enjoys taking ownership of multiple priorities. You’ll play a key role in managing schedules, supporting sales initiatives, assisting with customer communication, and ensuring smooth day-to-day operations.

WHAT YOU’LL DO

Administrative Support

  • Manage executive calendars, schedule meetings, and coordinate travel.
  • Screen, prioritize, and draft communications on behalf of the owner.
  • Prepare presentations, contracts, and maintain organized files.
  • Draft custom proposals and follow up with clients.
  • Maintain CRM notes, track client communication, and support warranty processes.
  • Assist with subcontractor coordination and client onboarding.

Operations & Marketing Support

  • Coordinate welcome packets, contracts, and ensure smooth client onboarding.
  • Support marketing by gathering project photos, reviews, and assisting with social media and email campaigns.
  • Help coordinate promotional shoots and advertising efforts.

Additional Support

  • Occasionally assist with personal tasks and errands for the owner.
WHAT WE’RE LOOKING FOR
  • Strong organizational and time-management skills with keen attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office, Google Workspace, CRM systems, and social media platforms.
  • Ability to handle sensitive information with discretion.
  • Adaptability in a fast-paced, entrepreneurial environment.
  • Experience supporting executives or sales teams in a service-based industry is a plus.
