Operations Department - hybrid schedule (onsite 3 days/week, 9am-5pm)
Reports to Chief of Staff.
Sunstone Therapies is the leader in the delivery of psychedelic‑assisted therapy in the medical setting, focusing on the development and implementation of clinical trials today, and clinical delivery if and when therapies are approved. Right now, we have two sites with roughly 30 employees – looking to build our team and expand to 2 more sites in the next 2 years, as well as begin delivering Ketamine Assisted Therapy.

JobActivities Systems Operations (Primary)
- You are the day‑to‑day owner of how our systems function.
- Diagnose and resolve system issues quickly (access, bugs, broken workflows).
- Troubleshoot across core systems (Salesforce / Health Cloud, eCW, Real Time, Google Workspace).
- Identify root causes of recurring issues and fix them at the source.
- Improve system reliability, usability, and performance over time.
- Manage user access across all systems.
- Ensure appropriate (least‑privilege) access where possible.
- Own onboarding and offboarding workflows (account setup, access removal, transfers).
- Regularly audit and clean up permissions.
- Act as the first point of contact for employee IT issues.
- Resolve problems quickly so the team can stay productive.
- Support onboarding into systems and tools.
- Improve how IT support is delivered (faster, less disruptive, more effective).
- Expect to identify patterns and improve systems so issues don’t keep recurring.
- Own relationship with external IT vendors (e.g., DP Solutions).
- Reduce reliance on vendors for basic issues.
- Escalate effectively when needed.
- Evaluate vendor performance and recommend improvements.
- Operate with strong security awareness, especially in a healthcare environment.
- Maintain good practices around access, permissions, and sensitive data.
- Reduce risk (e.g., overly broad access, unnecessary data exposure).
- Support implementation of compliance processes (e.g., HIPAA, Vanta).
- Partner with external experts on security tooling and controls.
- Not expected to design security frameworks, but comfortable working within regulated environments and implementing controls.
- Improve organization and accessibility of shared files.
- Reduce risk of inappropriate access to sensitive information.
- Make practical, incremental improvements to structure and usage.
- Avoid large‑scale disruptive changes—focus on what actually helps the team.

- Bachelor's degree or equivalent combination of education and relevant experience.
- 5–8 years of experience in IT operations, systems administration, technical operations, or a related field.
- Experience administering Google Workspace at enterprise level.
- Experience with CRM, project management, or business operations platforms.
- Experience leading or supporting a major systems implementation or migration project.
- Familiarity with user access management, permissions, and system configuration.
- Strong troubleshooting, documentation, and cross‑functional project coordination skills.
- Experience in a startup, scaling organization, or other fast‑paced environment.
- Experience with Salesforce and/or
- Experience in a regulated environment (e.g., healthcare, HIPAA, clinical research, fintech).
- Project Management Professional (PMP) certification.
- Experience managing vendors, SaaS tools, and technology integrations.
