Job Title: Facilities Coordinator

Location: Halifax, NS
Salary: $60, CAD

  • Up to 10% bonus on base salary
  • Benefits after 3 months (health, dental, vision, life)
  • 23 days off of per year (10 vacation days which are accrued, 8 wellness days, and 5 “summer days” for employees to take off – 1 day off per month from May-Sept).

Position Summary:
We are seeking a proactive, highly organized Facilities Coordinator to support the smooth operation of our properties. Reporting to the Senior Property Manager, this role ensures maintenance activities, vendor coordination, and service delivery are executed efficiently and to the highest standards. This position balances administrative precision with technical know-how and plays a critical role in maintaining safe, well-maintained, and comfortable living environments for our residents.

Key Responsibilities:

Maintenance Coordination & Operations

  • Assess property service needs and connect site teams with appropriate vendors or contractors

  • Oversee work order triage, ensuring proper categorization, prioritization, and assignment

  • Supervise contractor work to ensure quality, scope completion, and cost accuracy

  • Obtain and evaluate quotes for repairs, renovations, and maintenance projects

  • Manage preventive maintenance programs and capital improvement projects

  • Maintain accurate records of repairs, inspections, and capital work in property management systems

  • Ensure health, safety, and compliance standards are met, including required permits and documentation

  • Support turnover, commissioning, and early occupancy phases to ensure operational readiness

  • Perform general and specialized maintenance, including appliance repairs, plumbing, carpentry, painting, and electrical work

  • Respond to after-hours emergencies as required

Vendor & Resource Management

  • Develop and maintain a directory of service providers and contractors across multiple trades

  • Foster strong relationships with vendors to ensure quality, reliability, and competitive pricing

  • Track vendor performance and ensure work is completed to company standards

  • Maintain inventory of tools, equipment, and materials across sites

Administration & Reporting

  • Prepare monthly maintenance and operations reports for review with the Senior Property Manager

  • Support capital budget preparation and project tracking

  • Provide administrative support including documentation, scheduling, and communication management

Qualifications & Experience:

  • Post-secondary education in business administration, building operations, facilities management, or related field preferred

  • 3+ years of experience in facilities coordination, property management, or maintenance administration

  • Strong understanding of building systems, maintenance processes, and vendor coordination

  • Technical or mechanical background is a strong asset

  • Proficiency in Microsoft Office Suite; experience with property management software (e.g., Yardi) is an asset

  • Knowledge of plumbing, electrical, drywall, carpentry, painting, mechanical/HVAC systems

  • WHMIS certification considered an asset

  • Excellent communication, organizational, analytical, and problem-solving skills

  • Ability to multitask and manage competing priorities in a fast-paced environment

  • Detail-oriented, proactive, and committed to service excellence
