Job Summary

The Office of Student Recruitment and Marketing is a dynamic unit playing a vital role in shaping the future of Dalhousie through recruitment and marketing efforts for undergraduate, course-based, and professional master’s programs. As a broader part of the Office of Strategic Engagement, SRM leads strategic initiatives to attract a diverse and talented student body, while also managing critical marketing efforts that support the university’s brand and enrollment goals.

Reporting to the Admissions Coordinator, the incumbent is responsible for a wide variety of daily operational tasks relating to customer service, record management and record modification in support of the workflows of the Recruitment and Admissions Team. The role of Recruitment and Admissions Clerk is integral to ensuring a smooth pathway to enrollment for prospective Dalhousie students.

Key Responsibilities

  • Manage, process, and upload application-related documents into imaging systems while updating applicant records. Use approved AI tools to help identify missing information or errors in applications
  • Process clean up and payment reports, verify fee payments, identify errors, and determine when refunds or corrections are required.
  • Respond to high volume email inquiries maintaining response templates and triaging time sensitive requests, and route documents or questions to the appropriate departments.
  • Enter and update academic information in Slate CRM and Ellucian Banner (student information systems) to support admission decisions, scholarship assessment, and transfer credit evaluation.
  • Prepare and manage recruitment materials, mailings, and information packages, and maintain inventory of print and educational materials.
  • Support other departments by manually setting up applications, assisting with award related reporting, and ensuring accurate status coding for confirmed students and use approved AI to convert information into short, clear summaries.
  • Note

    Due to operational requirements, the successful applicant is required to work in-person on campus.

    Required Qualifications

  • Certificate in Office Administration, plus a minimum of three to five years’ related experience (or an equivalent combination of training and experience).
  • Experience in customer service.
  • Experience with supporting applications such as Microsoft Office programs.
  • Assets

  • Previous experience within a Registrar’s Office or post-secondary environment.
  • Experience in academic records and information management.
  • Experience with Ellucian Banner and Slate CRM student information systems.
