PROJECT COORDINATOR – SENSING & COMMUNICATION SYSTEMS

Applied Physical Sciences is seeking a highly motivated Project Coordinator to join our growing team. We are looking for an early‑career professional who is organized, adaptable, curious, and eager to build a foundation in project management in a fast‑paced environment focused on the research & development of advanced technologies. A successful candidate will work closely with project leadership teams and act as an operational enabler to Principal Investigators, assisting them with a variety of efforts spanning project planning, tracking, reporting, finances, deliverables, and risk management, ultimately helping to ensure successful project execution and customer satisfaction.

Job Functions and Responsibilities
  • Project Lifecycle & Planning: updating master schedules and tracking against deadlines, assisting in project planning, updating project management tools and associated tracking elements.
  • Delivery & Execution: tracking daily progress of project work streams, helping to ensure team members meet milestones, preparing progress reports.
  • Resource & Financial Management: tracking project spending against budget, comparing actuals to forecasts, coordinating resources with stakeholders to ensure task completion.
  • Stakeholder & Team Communication: coordinating between project members and vendors or subcontractors, distributing progress updates to stakeholders, managing and distributing meeting minutes, tracking and communicating action items, facilitating communication among team members and stakeholders.
  • Risk & Change Management: conducting basic risk monitoring to identify financial, schedule, or technical variance from plan and alert project leadership to potential impacts.
Required Skills and Attributes
  • Bachelor’s degree.
  • 2+ years of professional experience in project administration or a similar area, or an advanced degree (MBA or Master’s) in project management.
  • Strong communication skills, proficient at active listening and conveying status updates to various stakeholders, able to interface effectively between technical staff and project leadership.
  • Experience maintaining a project schedule, proficient with project management software, experience tracking technical deliverables and managing project artifacts.
  • Experience leading project‑related meetings and tracking work from others.
  • Experience identifying potential bottlenecks and other risks in project schedules.
  • Strong organization skills, note taking, and following up on actions.
  • Proficiency in MS Project, MS Excel, and MS PowerPoint.
  • Ability to work proactively and adapt in a cross‑functional, fast‑paced environment.
Preferred Skills and Attributes
  • Experience supporting project management in a technical or research & development environment.
  • Prior experience supporting DoD or acquisition projects.
  • Experience working in a dynamic, multidisciplinary engineering environment.
  • Professional certification: APM, DAWIA, or similar.
  • Experience in technical writing, system documentation & supporting new business proposals/bids.
  • Familiarity with engineering development, life cycles and documentation standards.
  • Understanding of broader system integration, verification, and test planning processes.
  • Ability to manage multiple tasks and dynamically balance shifting priorities.
  • Detail oriented with the ability to prioritize and organize daily schedules.
  • Experience in Dynamics 365 Project Service Automation or Project Operations.
