Job Overview

The Senior Manager, Business Banking Administration, is responsible for the day-to-day operations of front and back office processing for the Business Banking Group while coaching and leading their team to deliver excellent service.

This position plays a lead role in the risk management of the business as it relates to operational processing, documentation compliance, adherence to anti-money laundering and know-your-member requirements, securing valid enforceable security on loans and mortgages, and ensuring adherence to the Credit Union's policies, guidelines, procedures, and regulatory requirements.

Role
  • Provide support in the coordination and management of back office processes and administrative support for commercial and small business lending, deposit and cash management products
  • Oversee and manage the Business Banking Administration team staff who provide direct support to members through in person, telephone and electronic interactions (email, Webex/Teams)
  • Mentor, coach and develop team members to enable them to understand departmental objectives, goals and to achieve corresponding results
  • Provide direct support in the funding process for new loans and subsequent loan advances in conjunction with the Account Managers and Credit Adjudicators
  • Oversee and manage the team responsible for the following activities:
    • Funding conditions management
    • Credit and security documentation
    • Security registration and ongoing management/administration
    • Loan programming and funding
    • New account set ups
    • Set up and maintenance of cash management products and services
    • Co-ordinate and oversee the work flow and processes to support the account management teams to ensure maximum operational efficiencies and effectiveness
    • Recommend and implement additional reports and/or procedures to best identify and measure key credit, operational and reputational risk areas for the Credit Union
    • Ensure processes have effective controls in place to mitigate operational risk
    • Proactively manage issues and address them in a timely manner
    • Offer creative solutions that meet the needs of the member and the Credit Union and make recommendations for enhancements to senior management
    • Communicate business objectives and translate them into an action plan for team members
    • Know your client group, understand their challenges and help them understand processes and procedures that support their needs
    • Foster effective relationships within the Credit Union, with the Credit Union's business members, and with external professionals (lawyers, insurance brokers, etc.)
    • Strive for superior operational quality, ensuring processing is completed within the parameters of the credit union regulatory requirements and focus on operations excellence to achieve daily, weekly, and monthly Service Level Agreements (SLAs)
    • Grow current relationships with external partners and vendors that add value to the member experience, as well as confidently identify potential new relationships
    • Have an open door policy when you share all organizational or technology changes with your team and communicate any impact on their day-to-day tasks, their members, and/or Operations
    • Represent the Administration team on initiatives and projects ensuring impacts to employees, members and shareholders are identified and processes are delivered
    • Consider health & safety as a primary concern to ensure the overall well-being of your team and members
    • Perform other duties as required
Required Skills
  • Have a strong business acumen
  • Post-secondary diploma or degree in business and/or minimum of five (5) years equivalent industry experience in banking
  • Have well-developed people management skills
  • Experience supporting a unionized workforce and working in financial services and commercial lending industry is considered an asset
  • Be technically sound in every aspect of back office operations within the financial services industry
  • Experience developing operating procedures to maximize efficiency, provide clarity to staff performing tasks and minimize operational risk
