The Hamilton-Wenham Regional School District seeks an experienced, highly organized, and professional Principal’s Administrative Assistant to provide comprehensive administrative and operational support to the Principal of Miles River Middle School. The successful candidate will demonstrate exceptional judgment, confidentiality, attention to detail, and strong interpersonal and communication skills.
Essential Duties and Responsibilities- Maintain and manage the Principal’s calendar; schedule appointments and meetings.
- Answer phone calls, respond to emails, and assist staff, students, families, and visitors in the main office.
- Process incoming and outgoing mail and deliveries.
- Handle deposits, reimbursements, and check requests for student activity accounts and maintain the general ledger and bank reconciliations.
- Generate purchase orders, follow up with vendors, deliveries, and invoices.
- Maintain an organized, professional, and welcoming main office environment.
- Meet weekly with the Principal regarding events and budget review.
- Use the Power School Database to assist with student attendance, schedule look‑ups, and extract reports.
- Use Quickbooks for the Student Activity Fund accounts; handle deposits, check printing, reconciling, and replenish the checking account as needed.
- Maintain and update school and Principal calendars (internal and website).
- Process charges for lost or damaged Chromebooks; issue bills and record payments.
- Coordinate events such as student picture days.
- Use Google Drive for creating documents, spreadsheets, and forms for reporting, tracking, sharing, and collaboration with colleagues.
- Order supplies for the main office, health office, and classrooms/departments.
Compensation and benefits are in accordance with the Hamilton-Wenham Regional School District’s support staff contract and are commensurate with experience. Base salary range for the 2026 - 2027 Fiscal Year is $56,640 - $66,537.
Job Requirements- Required:
- High school diploma or equivalent.
- Minimum of three years of office or administrative experience (school experience preferred).
- Strong organizational skills with the ability to manage multiple priorities and meet deadlines.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office Suite and Google Workspace (Docs, Sheets, Calendar, Drive).
- Ability to handle confidential information with discretion and professionalism.
- Demonstrated ability to work collaboratively and courteously with staff, students, families, and the community.
- Preferred:
- Experience with school-based financial management systems (e.g., Budget Sense, Quickbooks).
- Knowledge of Massachusetts public school operations and Student Activity Fund procedures.
- Familiarity with event coordination and vendor management.
- At least 3 years of relevant experience preferred.
- High School/Trade School degree preferred.
- Citizenship, residency or work visa required.
