About the Role:

The Procedure Scheduler plays a critical role in the healthcare environment by coordinating and managing the scheduling of medical procedures to ensure optimal utilization of resources and timely patient care. This position requires meticulous attention to detail to accurately schedule procedures while considering patient needs, physician availability, and facility capacity. The Procedure Scheduler acts as a liaison between patients, healthcare providers, and administrative staff to facilitate smooth communication and efficient workflow.

By managing appointment calendars and resolving scheduling conflicts, this role directly contributes to enhancing patient satisfaction and operational efficiency. Ultimately, the Procedure Scheduler supports the healthcare team in delivering high-quality care by ensuring that all procedural appointments are organized and executed seamlessly.

Responsibilities:
  • Coordinate and schedule medical procedures in accordance with physician availability, patient preferences, and facility resources.
  • Communicate effectively with patients to confirm appointments, provide preparation instructions, and address any scheduling concerns.
  • Collaborate with healthcare providers, nursing staff, and administrative teams to manage procedure calendars and resolve conflicts.
  • Maintain accurate and up-to-date records of scheduled procedures using electronic health record (EHR) systems and scheduling software.
  • Monitor and track procedure volumes and scheduling trends to identify opportunities for process improvements.
  • Ensure compliance with healthcare regulations and organizational policies related to patient scheduling and data privacy.
  • Assist in managing cancellations, rescheduling, and follow-up appointments to optimize patient flow and resource utilization.

The Procedure Scheduler utilizes strong organizational and time management skills daily to coordinate complex appointment schedules efficiently. Effective communication skills are essential for interacting with patients to provide clear instructions and for collaborating with medical staff to resolve scheduling conflicts. Minimum Qualifications:
  • High school diploma or equivalent required
  • Previous experience in medical scheduling, patient coordination, or a related healthcare administrative role.
  • Familiarity with electronic health record (EHR) systems and scheduling software.
  • Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
  • Excellent communication skills, both verbal and written, to interact professionally with patients and healthcare staff.
Preferred Qualifications:
  • Certification in medical office administration or healthcare scheduling (e.g., Certified Medical Administrative Assistant).
  • Experience working in a hospital, outpatient clinic, or specialized medical practice setting.
  • Knowledge of medical terminology and healthcare procedures relevant to the specialty area.
