The Accounting Specialist will be a key contributor to the Finance team, responsible for managing expense-related accounting activities and partnering closely with on-site operational leaders to ensure sound financial controls. This role owns accounts payable functions and supports fixed asset accounting and related balance sheet reconciliations.
The ideal candidate is a proactive, detail-oriented professional who takes ownership of their work, applies best practices consistently, and looks for opportunities to improve processes. This role is well-suited for someone who thrives in a collaborative, fast-paced environment and values accountability and continuous improvement.
PRIMARY RESPONSIBILITIES
Manage end-to-end accounts payable processes, including:
- Reviewing invoice and purchase order coding
- Verifying required approvals
- Partnering with internal teams to resolve discrepancies
- Review invoices for accuracy and identify potential cost-saving opportunities
- Process employee expense reports using an expense management system
- Partner with department leaders to support responsible spending, including quotes, bids, and expense planning
- Independently research and resolve complex accounting issues or exceptions
- Maintain and update Excel schedules related to prepaid expenses, deferred expenses, and similar accounts
- Maintain the fixed assets subledger and supporting documentation
- Maintain vendor documentation, including tax and compliance records
- Perform monthly bank reconciliations
- Reconcile intercompany transactions on a monthly basis
- Protect sensitive financial information and maintain confidentiality
- Support special projects and ad hoc initiatives as assigned
- Work independently and collaboratively to meet deadlines and business needs
MINIMUM QUALIFICATIONS
- Bachelor's degree in Accounting or a related field (relevant experience may be considered in lieu of a degree)
- Strong proficiency in Microsoft Excel, Word, and Outlook; experience with mid-market accounting systems preferred
- Excellent written and verbal communication skills
- Strong interpersonal and customer service skills with the ability to collaborate across teams
- Highly organized, detail-oriented, and analytical
- Self-motivated with the ability to prioritize in a fast-paced environment
- Ability to multitask, work under pressure, and consistently meet deadlines
