Administrative Assistant; PSAHHS
Overview
Virginia Peninsula Community College is a two‑year institution of higher education that primarily serves the residents of the Hampton region. The Division office of Public Safety, Allied Health, and Human Services (PSAHHS) and Director Nursing Education Programs relies on this position for administrative assistance and support of the Fire and EMS Education Programs.
Responsibilities- Manage the Division office by maintaining documents and files.
- Oversee the performance of part‑time office staff and work‑study students.
- Communicate orally and in writing with the public and college personnel.
- Serve as the Division expert on travel regulations.
- Perform data entry and manage the Division budget.
- Input the schedule of classes and process adjunct faculty contracts.
- Establish mutual trust and collaboration within the division office.
May be required to perform other duties as assigned and to assist the agency or state government in the event of an emergency declaration by the Governor.
Qualifications- Experience
:
Proven administrative or assistant administrative work experience; ability to work and support all campus locations. - Knowledge
:
Knowledge of office management systems and procedures; basic understanding of office equipment. - Skills
:
Proficient with Microsoft Office Suite; excellent problem‑solving, organizational, time‑management, and customer‑service communication skills (verbal, written, interpersonal). - Abilities
:
Quickly acquire familiarity with new software systems and programs; organize and coordinate work within schedule constraints; handle emergent requirements in a timely manner; develop and maintain cooperative and professional relationships and work constructively with faculty, students, and within a team; maintain confidentiality of student, staff, and faculty documents; work independently and oversee administrative details not requiring immediate supervisor attention.
