- Provides clerical and accounting support to the department supervisor.
- Plans, initiates, and carries to completion clerical and administrative support activities.
- Maintains control records on incoming correspondence and action documents, and follows up on work in progress to ensure timely response or action.
- Screens supervisor's telephone calls and mail, and personally responds to those that can be handled at the secretarial level, forwarding the remaining calls/mail to supervisor with pertinent background material.
- Formats and types confidential and general correspondence, reports, and statistical data; tabulates and prepares reports of financial and statistical data.
- Operates a computer utilizing a variety of word processing, spreadsheet, database, and presentation software to prepare correspondence, memorandum, and accounting materials.
- Performs a variety of office related financial, accounting and budgetary tasks, utilizing a variety of office technology hardware and software.
- Compiles data for reports; gathers and interprets information from appropriate sources; prepares information and presentation packets for use by a supervisor or coordinator.
- Communicates with a variety of community agencies and court services.
- Schedules team meetings and hearings with families, service providers, community agencies, and school division personnel.
- Tracks and monitors student and family status relative to suspensions, community charges, external placements, chronic absenteeism.
- Performs all other related duties as assigned.
- Requires any combination of education and experience equivalent to a high school diploma and considerable responsible accounting and clerical experience. Associate's Degree preferred.
- Demonstrates good communication and human relation skills.
- At least 3 years of experience as a secretary in an educational institution or office setting (for external candidates only).
- Requires proficiency in File Maker Pro, Microsoft Office (Word, Excel, PowerPoint), preferably in a Macintosh environment.
- Ability to operate and perform tasks on standard office equipment; computers, fax, telephone, printers, copiers, etc.
