Description
The Administrative Assistant for the Department of Business Administration provides comprehensive clerical and administrative support to the Department Chair and faculty. This role is responsible for managing the Chair's calendar, coordinating department meetings and events, handling front desk operations, and serving as a key point of contact for students, faculty, and external visitors. The assistant ensures smooth daily operations by performing a range of tasks including scheduling, minute-taking, correspondence, and liaising with vendors and service providers.
The position plays a vital role in maintaining organization and communication within the department.
Examples of Duties
- Maintains the Department Chair's calendar, including scheduling meetings, presentations, and tracking important deadlines.
- Performs general clerical tasks such as typing, copying, filing, retrieving documents, and handling incoming and outgoing mail.
- Assists in the coordination and preparation of departmental meetings, school events, and committee sessions organized by the Department of Business Administration.
- Records and prepares meeting minutes for the Department of Business Administration.
- Manages front desk operations, including answering telephone calls and welcoming visitors to the reception area.
- Schedules appointments between students and faculty for academic advisement or to address academic concerns.
- Provides general information and directs faculty inquiries to appropriate resources.
- Collects, organizes, and distributes department-related communications and materials.
- Coordinates with repair personnel, vendors, delivery staff, and equipment service providers as needed.
- Manage the logistics for the Leadership Application Program (LAP).
- Perform other related duties as assigned by the Department Chair.
- Associate's degree in business
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Strong interpersonal and communication skills, both verbal and written.
- Ability to work independently as well as collaboratively within a team environment.
- Demonstrated initiative and a strong sense of ownership over assigned tasks and projects.
- Must be able to work on-site at Hampton University.
- Ability to compose professional emails and brief memos using proper grammar and tone.
- Willingness to perform other duties as assigned by the supervisor.
