Position: Program Management Analyst, Staff (A07) – Technical Project Coordinator

Job Description

AMA is currently seeking a Technical Project Coordinator to support the Consolidated Program Support Services for Project Coordination (CPSS PC) Contract at NASA Langley Research Center in Hampton, Virginia. The role involves working with technical and business personnel at NASA, other government agencies, and private industry to provide critical project management support on assigned projects. The position requires extensive experience in planning, coordinating, and supporting technical meetings and large events while managing daily business.

This hands‑on role requires interaction with high‑level professionals and excellent communication practices. The candidate should be a self‑starter and innovative thinker capable of identifying, communicating, and implementing processes to improve efficiency.

Responsibilities
  • Facilitate communication flow across project and/or program interfaces.
  • Maintain project and/or program calendars.
  • Expertly schedule and manage ongoing or ad hoc meeting invitations.
  • Update distribution lists, rosters, meeting attendee lists, and organizational charts.
  • Prepare draft presentations for team updates.
  • Convert technical data into presentation charts and support development of project reporting documents (project reporting documents, plans, milestone reports, quarterly/monthly reports, terms of reference documents, staff meeting presentations, etc.).
  • Provide quality assurance checks on documents, reports, and presentations.
  • Respond to project management and technical team requests promptly.
  • Work closely with other center organizations for graphics, printing, photography, tours, and facility usage.
  • Track meeting action items to maintain status and ensure deadlines are met.
  • Develop and provide coordination guidelines in reporting cadence, roster use, calendar updates, and informal program and/or project actions.
  • Identify areas for improved program and/or project office efficiency and propose processes, tools, or products.
  • Coordinate in‑room audiovisual requirements, presentation material, teleconferencing, and online meeting platform hosting.
  • Organize special on‑site and off‑site technically‑oriented meetings, programmatic reviews, working groups, panels, and boards.
  • Ensure availability of appropriate facilities and equipment.
  • Schedule and facilitate Web Ex, Teams, or other online conferencing sessions.
  • Coordinate secure meeting teleconferencing information for national and international meetings.
  • Support development of agenda with internal and external attendees to ensure meeting content is relevant.
  • Establish room blocks for off‑site events by working with hotel representatives.
  • Verify attendee credentials and coordinate center access for non‑NASA visitors with security, protocol, badge, and pass offices.
  • Travel to and facilitate off‑site meetings and events to ensure preparedness.
  • Record meeting notes or minutes for distribution and archival.
  • Collect, distribute, control, and archive meeting data (agendas, presentations, documentation, minutes, action items).
Education & Experience Requirements
  • 5–10 years of relevant work experience.
  • Experience working within NASA and/or a large Government/DoD environment desired.
  • Expertise in Microsoft Office Suite and Adobe Acrobat applications.
  • Bachelor’s degree desired.
  • Experience with data management, especially handling CUI‑sensitive data preferred.

The salary range for this position is $65,000–$75,000, commensurate with education and experience.

This position requires U.S. citizenship or permanent residence.
