Executive Assistant To The Superintendent
The Executive Assistant to the Superintendent serves as the Superintendent's principal executive support professional and trusted administrative partner. This position coordinates the day-to-day operations of the Superintendent's Office while managing complex executive functions, facilitating high-level communications, coordinating strategic initiatives, and ensuring the effective flow of information throughout the organization. The Executive Assistant exercises exceptional judgment, discretion, professionalism, and initiative while collaborating with the School Board Office, Division Leadership Team, schools, municipal officials, community partners, and the public.
Primary Responsibilities:
- Manage the daily operations of the Superintendent's Office and serve as the Superintendent's primary executive administrative partner.
- Manage the Superintendent's calendar, travel, meetings, and competing priorities.
- Prepare executive correspondence, presentations, speeches, reports, agendas, and briefing materials.
- Research issues and compile background information to support executive decision-making.
- Track strategic initiatives, Superintendent priorities, School Board requests, and executive action items.
- Coordinate executive meetings, community engagements, and special events.
- Serve as a liaison with School Board members and staff, division leaders, city officials, business partners, higher education, military partners, families, and community organizations.
- Coordinate responses to public inquiries and ensure exceptional customer service.
- Review incoming and outgoing correspondence for accuracy, completeness, and appropriate follow-up.
- Assist in preparing School Board presentations and executive reports.
- Coordinate special projects assigned by the Superintendent.
- Prepare and monitor the Superintendent's Office budget and purchasing records.
- Maintain confidential records and executive filing systems.
- Represent the Superintendent's Office with professionalism and diplomacy.
- Perform other duties as assigned.
Minimum Qualifications:
- Associate's degree required;
Bachelor's degree preferred. Equivalent experience may be considered. - Five or more years of progressively responsible executive administrative support experience; experience supporting a superintendent, CEO, elected official, or senior executive preferred.
- Demonstrated experience managing complex calendars, projects, and competing priorities.
- Exceptional written, verbal, editing, and organizational skills.
- Advanced proficiency with Microsoft Office 365, Google Workspace, and presentation software.
- Ability to exercise independent judgment, maintain strict confidentiality, and anticipate executive needs.
- Ability to establish positive relationships with internal and external stakeholders.

- Knowledge of executive office operations and professional business practices.
- Ability to prioritize work independently in a fast-paced environment.
- Excellent attention to detail and project management skills.
- Commitment to outstanding customer service and continuous improvement.
Working Conditions:
- Work is primarily performed in an office environment with occasional evening meetings and community events.
- Must be able to operate standard office equipment and occasionally lift up to 25 pounds.
