Description
The Athletics Chief of Staff serves as a senior-level strategic and administrative leader within Hampton University's Department of Athletics. The position directly supports the Director of Intercollegiate Athletics and helps coordinate department-wide priorities, executive operations, internal communication, specialprojects, and cross-functional initiatives across theathletics.
Examples of Duties- Serve as the principal strategic and administrative support professional to the Director of Intercollegiate Athletics, helpingto manage priorities, schedules, briefing materials, meetingpreparation, and executive follow-up.
- Coordinate the flow of information between the Director of Intercollegiate Athletics and senior athletics staff, coaches,university leadership, and external stakeholders to ensure timely communication and effective decision support.
- Manage and monitor special projects and department-wideinitiatives on behalf of the Director of Intercollegiate Athletics,including project timelines, deliverables, meeting notes, and accountability measures.
- Prepare reports, presentations, agendas, talking points,memoranda, and correspondence for internal and external meetings,events, and strategic discussions.
- Support planning and execution of leadership meetings, staff meetings, retreats, strategic planning sessions, and other administrative gatherings tied to departmental priorities.
- Track action items emerging from executive meetings and ensure appropriate follow-up with responsible administrators, coaches, andcampus partners.
- Serve as a liaison between the Department of Athletics and university offices, including the Office of the President, Finance,Human Resources, Advancement, Compliance, Communications,Facilities, and other institutional units as needed.
- Assist the Director of Intercollegiate Athletics in maintainingorganizational alignment with university goals, departmental objectives, and NCAA and conference expectations.
- Support departmental policy development, process improvement, and workflow coordination to improve efficiency, responsiveness, andconsistency across athletics operations.
- Help coordinate executive responses to sensitive or high-priority matters requiring diplomacy, confidentiality, and professional judgment.
- Assist in the organization and execution of high-profileathletics events, donor and alumni engagements, board or leadershipmeetings, and other strategic functions involving the Office of the Director of Intercollegiate Athletics.
- Maintain confidential files, records, and materials related to executive operations, strategic initiatives, and personnel ororganizational matters.
- Represent the Office of the Director of Intercollegiate Athleticsin meetings or working groups as assigned.
- Perform other related duties as assigned by the Director of Intercollegiate Athletics.
- Bachelor's degree from an accredited institution.
- Minimum of five years of progressively responsible experience incollegiate athletics administration, higher educationadministration, executive support, operations, or a related field,consistent with Hampton University's leadership expectations forsenior athletics roles.
- Demonstrated experience supporting senior leaders, managing complex projects, or coordinating cross-functional initiatives in adeadline-driven environment.
- Strong written, verbal, interpersonal, and presentation of communication skills.
- Excellent organizational skills and the ability to manage multiple projects, deadlines, and stakeholderssimultaneously.
- Demonstrated ability to handle confidential and sensitive matters with discretion and sound judgment.
- Ability to work effectively with athletics administrators,coaches, staff, student-athletes, university officials, and external partners.
- Proficiency in Microsoft Office Suite and other administrative,reporting, and collaboration platforms.
- Master's degree in sports administration, higher education,business, public administration, or related fields.
- Experience working in an NCAA Division I athleticsdepartment.
- Working knowledge of NCAA regulations, conference governance, and athletics department for administrative operations.
- Experience in strategic planning, policy implementation,executive communications, or athletics project management.
- Familiarity with budgeting processes, event coordination, boardrelations, donor engagement, or university governance structures.
