Reporting to the Senior Development Manager, the Executive Assistant to the Director’s Office provides administrative support to both the Howard Gilman ’44 Executive Director and institutional advancement at the Hopkins Center for the Arts (the Hop). Duties include scheduling, logistic planning and reconciliation, event support and execution, writing, database management, and management of daily communication in the Director’s Office.
Key Responsibilities- Schedule and manage the Executive Director’s calendar, daily itineraries, and travel logistics.
- Coordinate meeting and event support, including logistics planning and execution.
- Prepare and distribute relevant documents, take notes and follow‑up.
- Provide administrative and technical support, including software upgrades and technology coordination.
- Manage daily communication in the Director’s Office.
- Assist the Senior Development Manager in fundraising functions, ensuring accurate gift recording, acknowledgment, and database integrity.
- Maintain records of memberships and gifts, process renewals, and provide membership reports.
- Support development and communication efforts, including website, social media, e‑newsletters, and promotional materials.
- Assist with internal stewardship communication via Airtable and Google Drive.
- Provide onsite event support concerning membership and Board of Advisors.
- Manage or supervise student assistants, including training in data entry and general office duties.
- Demonstrate professionalism and collegiality in all interactions.
- Perform other duties as assigned.
- Bachelor’s degree or equivalent in education and experience.
- 1–3 years of experience supporting a leadership position.
- Excellent interpersonal skills and ability to deal articulately with a diverse range of people and situations, with sensitivity to nuance.
- Strong organizational skills, balancing priorities and meeting deadlines.
- Initiative, sound judgment, and ability to work independently.
- Strong writing, detail editing, and proofreading skills.
- Technologically savvy in the use of computers, applications, databases, tablets, and smartphones.
- Availability and willingness to work occasional weekend and evening assignments.
- Commitment to diversity and to serving the needs of a diverse population.
- Adept at handling confidential information with excellent judgment and discretion.
- Willingness to utilize all forms of communication to ensure efficiency and expediency.
- Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams), Adobe Acrobat, Zoom, and cloud-based applications.
- Flexible, creative, self‑motivated, and willing to work extended hours on occasion.
- Keen interest in the arts.
- Experience with software platforms Airtable, Advance, Tessitura, Slack, and/or Asana.
- Comfortable navigating Apple and PC platforms.
