Schedule Mostly onsite; can be hybrid one day a week; temporary up to 6 months.

Position Purpose

Reporting directly to the Associate Dean for Diversity, Equity, Inclusion and Belonging (ADEIB), the Administrative Assistant IV will advance the Office of Diversity, Inclusion, and Community Engagement (DICE) efforts to advance Inclusive Excellence and Belonging (IEB) initiatives across Geisel educational programs. The successful candidate will provide administrative and project support for DICE and work closely with the DICE team to advance initiatives across the Dartmouth academic enterprise.

Required Qualifications
  • Bachelor’s or equivalent combination of education and experience
  • Two plus years of administrative experience in a similar role or relevant student-facing office environment in higher and/or medical education
  • Excellent verbal and written communication and interpersonal skills
  • Ability to work effectively in a team
  • Exercise judgment and initiative
  • Interact positively with a diverse set of faculty, students, and personnel in a professional manner
  • Flexibility and adaptability
  • Ability to plan work, set priorities, and respond to pressures, deadlines, and changes in schedules and priorities

Preferred Qualifications
  • Bachelor’s degree in hospitality, tourism, project management or a related field
  • Experience managing and training others on structural, cultural, or other issues impacting academic performance of students from diverse backgrounds
  • Experience overseeing community service-learning projects
  • Bilingual with proficient reading, writing, and speaking in Spanish
Key Accountabilities Operational Efficiency (45%)
  • Manages phones, scheduling, inbox organization, and other routine administrative functions
  • Assists in organizing, coordinating, and overseeing service learning and volunteer opportunities for students
  • Plans and coordinates office operations, arranging complex meetings and travel, and coordinating communication and information flow across departments
  • Uses computer systems, databases, word processing, spreadsheets, and presentation software to create reports and manage data efficiently
  • Tracks the percentage of DICE events executed and identifies any logistical issues
  • Acts as a point of contact for internal and external office inquiries, disseminating information about inclusive excellence and belonging initiatives
  • Organizes key DICE content from events and external resources to simplify access for faculty, staff, and students
Project Management (45%)
  • Helps to plan, organize, and track assigned tasks for DICE
  • Orders supplies, manages inventories, and assists with resource allocation
  • Provides high-level confidential administrative support to DICE team members
  • Updates the digital calendar with any known events such as heritage month celebrations, professional development training, or meetings
  • Assists Senior Event Program Coordinator with heritage month programming, including Hispanic, Black History, Ramadan, Diwali, and Lunar New Year celebrations
  • Coordinates publicity activities with the Senior Event Program Coordinator, reviewing brochures and newsletters, DICE website and social media updates, presentation platforms, and publications/communications
Information/Records Management (10%)
  • Handles a wide variety of confidential matters and materials with discretion
  • Organizes, indexes, and maintains physical and electronic files
  • Performs data entry, scanning documents, and verifying file accuracy
  • Creates presentations, charts, and other documents using software like Word and Excel
  • Composes and proofreads correspondence prepared by the DICE team
  • Demonstrates professionalism and collegiality in all interactions in a welcoming environment for all
  • Performs other duties as assigned
