Senior Administrative Assistant – Hanover, Maryland

JAB Recruitment is actively seeking a Senior Administrative Assistant to support one of our prestigious global engineering and technology companies that primarily serve the offshore oil and gas industry, with operations in defense, aerospace and renewables.

This is an exciting opportunity to work with a world‑class team in a fast‑paced, professional environment. In this role you will report to the Office Manager and perform administrative tasks in support of projects/programs and other departmental tasks.

  • This is a contract position – estimated 6 months with an opportunity for conversion based on performance.
  • Onsite role.
  • Candidates must be authorized to work in the U.S. indefinitely without present or future need for visa sponsorship. No sponsorship available.
Responsibilities
  • Perform tasks such as scheduling appointments, making travel arrangements, completing expense reports, providing meeting support, faxing/copying, maintaining supplies, record‑keeping, and mail distribution.
  • Receive and screen telephone calls and visitors.
  • Handle customer/vendor contacts.
  • Assist in preparation of slide presentations and database updates.
  • Cover the main switchboard as required.
  • Overtime may be required on an as‑needed basis.
Minimum Requirements
  • Associate’s degree or equivalent experience (ten years total office experience; three years of experience working for executive‑level managers).
  • Strong working knowledge of MS Office Suite software.
  • Knowledge of Windows‑based electronic mail and data communications.
  • Strong mathematical aptitude with the ability to perform complex calculations and analyze numerical data.
  • Ability to work independently and prioritize workloads.
  • High attention to detail and strong grammar and proofreading skills.
  • Reliable team player, with good organizational, time‑management, and problem‑solving skills.
Desired
  • Experience with DoD travel regulations, including Joint Travel Regulations (JTR), Defense Travel System (DTS) and GSA per diem rates.
  • Proficiency in People Soft and experience working with Enterprise Resource Planning (ERP) systems.
  • Knowledge of web‑based applications/conferencing.
Working Conditions

This position is considered OFFICE WORK which is characterized as follows.

  • Almost exclusively indoors during the day and occasionally at night.
  • Occasional exposure to airborne dust in the workplace.
  • Work surface is stable (flat).
  • Requires working indoors in environmentally controlled conditions.
  • Job tasks are performed in close proximity to other people.
